Service Fusion vs Housecall Pro (2026): flat-rate unlimited users against per-seat tiers, and the maintenance-agreement gap in both
- Deepsel is our product. It appears in one labeled section near the end and is not the answer to the Service-Fusion-vs-Housecall-Pro question.
- Every price was checked on the vendor's own pricing page on September 7, 2026. App ratings come from the App Store and Google Play listings the same day.
- Every claim about what breaks links to the thread, review or help article it came from, with a date.
Housecall Pro is cheaper up to five users and has the better-rated field app. Service Fusion charges a flat $208-533 a month with unlimited users and pulls ahead of Essentials from the sixth login, and of Max from the ninth on a like-for-like tier. Neither runs a maintenance-agreement program end to end. Pick on crew size and on the app your techs will tolerate, then keep the agreement book beside whichever one you choose.
These two get compared because they sit on either side of a line. Housecall Pro says it's used by 200,000-plus pros across 50-plus trades14 and prices by seat, so it fits the 1-4 truck residential shop where the owner still runs calls. Service Fusion, part of EverCommerce's EverPro group, claims 6,500 customers and 40,000 active users13 and prices per company, so it fits the shop with an office, a dispatcher and commercial accounts. Most 3-6 truck HVAC shops sit between those two descriptions, which is why the choice is hard.
Comparison table: Service Fusion vs Housecall Pro on the 13 things a 1-4 truck shop asks about
Service Fusion is the flat-rate, unlimited-users platform with QuickBooks Desktop support and a weak field app. Housecall Pro is the per-seat platform with a strong app, a free trial and cheaper card processing. Both gate their maintenance-plan billing behind the top tier or an add-on. The details, each cell sourced:

Service Fusion vs Housecall Pro pricing: where unlimited users starts to pay
Service Fusion Starter is $208 a month for any number of users. Housecall Pro Essentials is $149 for five, then $100 per extra seat; Max is $299 for eight, then $75. So Service Fusion costs $59 more at five users, and less from user six against Essentials or user nine against Max. Software only, on annual billing:1, 2
| Shop | Service Fusion Starter | Service Fusion Plus | Housecall Pro Essentials | Housecall Pro Max |
|---|---|---|---|---|
| 3 trucks, 5 users (3 techs, owner, office) | $208 | $325 | $149 | $299 |
| 4 trucks, 6 users | $208 | $325 | $249 | $299 |
| 5 trucks, 8 users | $208 | $325 | $449 | $299 |
| 6 trucks, 9 users (adds a dispatcher) | $208 | $325 | $549 | $374 |
| 8 trucks, 12 users | $208 | $325 | $849 | $599 |
Two things the table hides. First, Starter has no job photos, inventory or job costing; those are on Plus, so the like-for-like comparison for most 3-5 truck shops is Plus at $325 against Max at $299, and there Service Fusion only wins from user nine.1 Second, processing. Housecall Pro's floor rate is 2.59%; Service Fusion's is 2.90% plus 30 cents.2, 4 On $25,000 a month of card payments across 85 invoices, that's about $648 against $750. The $100 a month difference is nearly the whole subscription gap at five users, and it doesn't shrink as you grow.
All-in for the two shops above (my assumptions: $25,000 of monthly card volume for the 3-truck shop, $50,000 for the 6-truck shop, floor rates on both, no add-ons):
- 3 trucks, 5 users. Housecall Pro Essentials is about $797 a month all-in ($9,560 a year). Service Fusion Starter is about $959 ($11,500). Housecall Pro wins by roughly $1,900 a year, and the trial is free.
- 6 trucks, 9 users. Service Fusion Starter is about $1,709 a month ($20,500 a year). Housecall Pro Max with one extra seat is about $1,669 ($20,000). Essentials with four extra seats is $1,844 ($22,100). Even here the flat price and the cheaper card rate roughly cancel out. Unlimited users only runs away with it past ten logins, or if you keep most payments on ACH and checks.
Line-item detail, add-ons and the billing terms are on the Service Fusion pricing and Housecall Pro pricing pages. Read Service Fusion's subscription agreement before you prepay a year: fees are non-refundable and the term auto-renews unless you give 30 days' written notice.5
Ease of use vs depth: the trade owners on both sides describe
Owners who have run both say the same thing from opposite directions: Housecall Pro is the polished one and Service Fusion is the deep one. An HVAC owner who moved from Service Fusion to Housecall Pro, June 2024: "Service fusion is pretty good, not that polished, highly customizable, but lacks making it easy on the end user as far as customizing. Its too advance if that makes sense. Their app def lacks compared to others on their level. Housecall pro is much more polish and user friendly. Lacks customizing where is needed."24
And the reverse trip, from a residential HVAC owner in May 2025: "Housecall pro looked good and easy to use but it lacked the ability to add and track equipment information from the mobile device which is crucial to the process I want to implement. So I switched to service Fusion which has this feature but I am overwhelmed by the backend complexity."25 (A Housecall Pro user in that thread pointed out that property profiles can be edited from the app once enabled, which is fair, but it wasn't obvious enough to keep him.)
Depth has a reporting problem attached. An owner and office manager at an electrical contractor two-plus years on Service Fusion, April 2026: "Service Fusion's reporting is useless, as it's impossible to run a valid report on all active service/maintenance plans."28 Housecall Pro's complaint in the switcher quote above runs the other way: it "lacks customizing where is needed." Neither is a dealbreaker on its own. It's a question of whether your office wants a system it can bend, or a system it can't break.
The mobile app is the biggest gap between them
Housecall Pro's field app is rated 4.6 on iOS across 29,514 ratings and 4.5 on Google Play across 6,718.11, 12 Service Fusion's numbers are split. Its legacy app scores 4.6 on iOS (1,421 ratings) but 2.5 on Android (498 ratings), and it hasn't been updated since April 2025.11, 12 The replacement, "Service Fusion By EverPro," went live on Google Play in March 2026 and shipped version 2.11.0 on iOS on August 21, 2026. As of September 7 it sits at 2.5 stars on both stores, from 21 and 27 ratings.11, 12 Early days, and the sample is tiny. One App Store reviewer likes it: "This app is the version of service fusion you want I've been using the old version for 5 years and it was always terribleeeeee this version has fixed almost everything I hated about the app."11
Techs are less forgiving than owners about this. A field tech two years on Service Fusion, June 2026: "It's incredibly slow and the push to say something about it on a forum was trying to zoom in on pictures in the images tab for a job and not being able to without swiping left and right through the pics."23 The owner who started that thread in October 2025 put it in one line: "my field techs absolutely hate it."23 If your techs are the ones who decide whether the software gets used, weight this section more than the price table.
QuickBooks, support hours and the trial
Service Fusion syncs with QuickBooks Online and QuickBooks Desktop from its cheapest plan, through a Windows-only Desktop tool.1, 8 Housecall Pro's QuickBooks Online sync starts on Essentials, and it supports Desktop too, US versions on Windows.2, 9 That matters mostly against Jobber, which has no Desktop sync at all (more below).
Support hours favor Housecall Pro. Its chat and phone lines run weekdays 5am-5pm Pacific and Saturday 8am-4pm, with chat on Sunday and an AI assistant around the clock; Max buyers get a dedicated onboarding contact.7 Service Fusion's support is Monday to Friday, 6am-6pm Central, but onboarding is included on every plan rather than gated to the top one.6, 32 For a shop that runs Saturdays, that's a real difference. And only one of the two lets you try before you buy: Housecall Pro's 14-day trial runs on Max with no card; Service Fusion's page has a demo button and nothing else.1, 2
Service Fusion vs Jobber
The same reader usually has Jobber on the list, and the shape is similar: Jobber prices by team-size band with cheap extra seats, so it's the cheapest of the three under eight users and Service Fusion's flat price beats it from there. Software only, annual billing:1, 2, 3
| Service Fusion | Housecall Pro | Jobber | |
|---|---|---|---|
| Entry plan with automations and QuickBooks | Starter $208/mo, unlimited users | Essentials $149/mo, 5 users | Connect $99/mo for 1 user, $149 for up to 5, $229 for up to 10 |
| Extra users | $0 | $100 (Essentials), $75 (Max) | $29 each on any plan |
| Cost at 8 users | $208 | $449 Essentials or $299 Max | $229 (10-user band) |
| API | Pro only ($533) | Max only ($299) | Free and open on every plan29 |
| QuickBooks Desktop | Yes, Windows tool8 | Yes, US Windows versions9 | No. "There is no active sync with QuickBooks Desktop"10 |
| Field app (iOS / Android) | 4.6 / 2.5 legacy; 2.5 / 2.5 new app | 4.6 / 4.5 | 4.8 / 4.411, 12 |
| Maintenance agreements | Reference-only record; billing on Pro or add-on | Module on Max; $0.00 visit invoices | None. Recurring jobs plus a spreadsheet29 |
A locksmith on r/Locksmith summed up the Service Fusion case in August 2024: "the problem with Jobber and Service pal was they start to get expensive as you add more employees. They have a per employee fee, service fusion does not."26 True, and the crossover is user eight: Jobber Connect's five-user band plus three seats is $236, the ten-user band is $229, and Service Fusion Starter is $208.3 Below that, Jobber is cheaper, its iOS app is the best rated of the three, and its API is free on every plan, which is why companion tools plug into Jobber first.29
What Jobber lacks is the Desktop sync and any membership object at all. The feature request has been open in Jobber's community for years; the workaround is a recurring job, a client tag and a spreadsheet.29 The full tier-by-tier numbers are on the Jobber pricing page, and the head-to-head with Housecall Pro is Jobber vs Housecall Pro.
What owners say about Service Fusion vs Housecall Pro
Pulled live on September 7, 2026. Dates and words are the posters' own.
- Stays on Service Fusion, has demoed everything, October 2025: "I've wanted to leave many times. Then I go look at the options. I can pay 40k$ a year for service titan and be locked into a bs contract that gives them all the power, or go to Housecall, jobber, sera, a dozen other ones I've demoed over the last year. I'm in a lot of Facebook groups like Housecall pros. They all have complaints like this weekly."23
- The thread he was replying to, same day: "it goes down in a major outage at least 1x per month, my field techs absolutely hate it, basic back office functions and reporting functions are missing." The first reply asked whether it was down because of that morning's AWS outage.23
- Service Fusion shop answering a 3-tech HVAC owner, April 2026: "We use Service Fusion. It is stable and does fine. We pay something like $300/mo."27 A bookkeeper in the same thread: "75+% of our smaller trades vendors use housecallpro fwiw."27
- Housecall Pro shop replying to a Service Fusion office manager paying about $500 a month, February 2025: "1st year we cut a deal for $99 a month now we are paying only $250. Great thing about it is you can customize service agreements charge monthly, every week yearly quarterly you name it. Payments are automatic and saves us the hassle of calling clients for payment."22
- The office manager she was answering, 4-tech family HVAC shop: "We are happy with SF for our needs right now - but their service agreement management is basically non-functional for our needs." Another reply: "Had service fusion for 5 years. MA plans were a nightmare."22
Which should a 1-4 truck HVAC shop choose?
Decision rules, in order:
- Five or fewer logins and your techs live in the app? Housecall Pro Essentials at $149. Cheaper software, cheaper processing, the better app, and a free trial to prove it.
- Six-plus logins now, or hiring toward it, with an office that runs the system? Service Fusion. Starter if you can live without photos and job costing, Plus if you can't. The flat price stops the seat math for good.
- Bookkeeper on QuickBooks Desktop? Either works. Service Fusion includes it from Starter; Housecall Pro supports US Windows versions too, so ask your rep which tier it sits on. Jobber is out.
- Commercial accounts, inventory and job costing in one system? Service Fusion Plus. That's the depth the switcher quotes are describing.
- Maintenance agreements are the business? Neither wins. Read the next section before you let the Max tier or the Pro tier decide it for you.
For the wider field (ServiceTitan, FieldEdge, Workiz, FieldPulse), the roundup is best HVAC maintenance agreement software, scored on the agreement module rather than the sticker price.
Either way: what none of them does about maintenance agreements
Service Fusion records an agreement. The customer record gets a name, effective and expiration dates, a member rate, and an amount field that its help center says is "reference-only" for now.15 Billing comes from a separate Recurring Invoice (included on Pro, an add-on on Starter and Plus) and visits from separate Repeating Jobs, and the help center's own advice is to use them "in conjunction with" the agreement.15, 16 Nothing links the three. No field counts visits owed against delivered, and bulk imports go to support as an emailed spreadsheet.17 Service Fusion wrote in June 2026 that agreement-tied billing and a structured setup "are being built."18 Until it ships, the office manager's list (who's due, renewal date, tier, last visit) lives in Excel. The field-by-field version is Service Fusion service agreements, explained.
Housecall Pro has the module, on Max, and it bills well. What it doesn't do is documented by Housecall Pro itself: the visits dashboard "will act as your reminder to schedule actual appointment times,"20 the billing frequency and the saved card "cannot be changed" or "removed" once a plan is active,19 and completed plan visits invoice at $0.00 with no link to the plan payment.21 On Basic or Essentials there's no module at all. The workarounds are in Housecall Pro service plans, explained.
This is the part I have a product in, so weigh it accordingly. Deepsel is an agreement ledger that runs beside the FSM you keep: plan, tier, covered equipment, card on file, visits owed vs delivered per unit. It charges renewals on the card with retries and flags the ones that fail, emails every member who's due a booking reminder each spring and fall (texts on Pro), and warns you before a paid visit expires. Starter is $79 a month, Pro $159 (coming soon), unlimited users. With Housecall Pro, the reminders carry HCP's own booking link, which works from the $59 Basic plan, so you keep Essentials instead of buying Max; native sync is planned. With Service Fusion there is no integration today: you import an export of your customers or agreements, and when a member books, the office keys the visit into Service Fusion as a normal job. Stack cost: Essentials $149 plus Deepsel $79 is $228 a month against Max at $299; Service Fusion Starter $208 plus Deepsel is $287, and Pro's recurring invoicing at $533 still doesn't know how many visits a member has left.
14-day free trial. No credit card required. Still deciding? The free agreement-tracking spreadsheet works beside either one.Frequently asked questions
Is Service Fusion or Housecall Pro better for HVAC?
It depends on crew size and where your techs work. Housecall Pro is cheaper up to five users, has a field app rated 4.5 to 4.6 stars across tens of thousands of ratings, and offers a 14-day trial. Service Fusion costs a flat $208 to $533 a month with unlimited users, syncs with QuickBooks Desktop from its cheapest plan, and suits an office-run shop with six or more logins. Neither runs maintenance agreements end to end; both leave the visit ledger to a spreadsheet or a companion tool.
Is Service Fusion cheaper than Housecall Pro?
Only past five users. At five or fewer, Housecall Pro Essentials is $149 a month against Service Fusion Starter at $208. At six users Essentials becomes $249 and Service Fusion stays at $208. Against Housecall Pro Max ($299 for 8 users, then $75 each), Service Fusion Starter is cheaper at any size and Plus ($325) is cheaper from user nine. Housecall Pro's lower card rate (2.59% versus 2.90% plus 30 cents) claws back part of the gap on card-heavy shops.
Does Service Fusion charge per user?
No. Every Service Fusion plan is a flat monthly fee per company with unlimited users, which its pricing page states outright. Adding a technician, a dispatcher or an office login costs nothing. The only cost that scales with fleet size is GPS fleet tracking, which is priced per vehicle as an add-on. Housecall Pro includes 1, 5 or 8 users by tier and charges $100 per extra user on Essentials and $75 on Max.
Does Service Fusion have a free trial?
No. Service Fusion's pricing page has one button, Get a Free Demo, and plans are sold after the demo. There's no free plan either. Housecall Pro gives 14 days on its Max tier with no card required. If you want to run a real week of jobs through both before choosing, only one of them lets you.
Is Service Fusion better than Jobber?
Jobber is cheaper under eight users (Connect is $149 a month for up to five, then $29 per extra seat), has a free open API on every plan, and its field app is rated 4.8 on iOS. Service Fusion pulls ahead at eight-plus logins with its flat price, supports QuickBooks Desktop where Jobber syncs only with QuickBooks Online, and includes inventory on Plus. Neither has a maintenance-agreement object that counts visits owed against visits delivered.
Does Service Fusion track service agreements?
It records them. A Service Fusion agreement is a toggle on the customer record with a name, effective and expiration dates, a member rate and an amount field the help center calls reference-only. Billing runs in Recurring Invoices (included on Pro, an add-on on Starter and Plus) and visits in Repeating Jobs, and the three objects never link. Nothing counts visits owed versus delivered, and agreement imports go to support by emailed spreadsheet. Service Fusion said in June 2026 that agreement-tied billing is being built.
Does Housecall Pro have maintenance agreements?
Yes, on Max only. Recurring Service Plans is a $299-a-month tier feature that auto-charges a saved card and lists upcoming plan visits for the office to schedule by hand. Three documented limits: completed plan visits invoice at $0.00 with no link to the plan payment, the billing frequency and the saved card lock once a plan is active, and nothing warns you before a paid visit expires. Basic and Essentials shops run plans on recurring jobs plus a spreadsheet, or with an agreement layer beside HCP.
