How to import Housecall Pro customers into Deepsel
- I ran the export in a live Housecall Pro account on September 28, 2026, and checked the steps against Housecall Pro's help center (article dated July 21, 2026).
- The customers in the screenshots are made up. The file has the same 44 columns as the export Housecall Pro emailed me, zipped the same way.
- Deepsel is my own product.
To import Housecall Pro customers into Deepsel, send yourself the customer export from Housecall Pro (Customers, Actions, Export, Send file), then upload the zip file from that email in Deepsel under Customers, Import. You don't unzip it. Deepsel already knows Housecall Pro's column names, so names, phones, emails, addresses and notes get matched for you. You check the matches, look at how many rows are new and how many are already in your account, and click Import.
Below is every step, with screenshots, using a 41-row export from a made-up Atlanta shop that already had 14 of its customers in Deepsel. The run added 26 customers, updated 6 and skipped 9 rows as duplicates.

The import fills ten fields on a customer: first name, last name, company name, email, phone, street address, city, state, zip and notes. Here's which column of the Housecall Pro file feeds each one.
| Column in the file | Lands in Deepsel as | Good to know |
|---|---|---|
| First Name, Last Name | First name, Last name | |
| Company | Company name | |
| Display Name | First name and Last name | Only used when First Name and Last Name are both empty |
| Mobile Number, Home Number, Work Number | Phone | One phone per customer: the first number found, looking in that order. Housecall Pro writes digits only (4045550151) and that's how they arrive |
| Notes | Notes | Housecall Pro doubles every quotation mark inside a note, Deepsel puts them back |
| Customer Type | Not stored | Tells a company from a person on rows that only have a display name |
| Address_1 Street Line 1 and 2, City, State, Postal Code | Street address, City, State, Zip | Street Line 2 is joined onto the street line: 2045 Peachtree Rd NE, Suite 310 |
| ID | Not stored | Used to spot one record listed twice |
| Additional Emails, Role, Bills to, Accepts bills from, Tags, the notification and contractor flags, Lead Source, Customer created at, Do Not Service, Last service date, Lifetime value, everything under Address_2 and Address_3, the address notes | Not imported | These are the yellow rows in the review |
Two things never make it into Housecall Pro's file, so they can't come across: phone numbers beyond the mobile, home and work ones, and whatever you entered under Referred by.
Step 1: Export your customers from Housecall Pro
- In Housecall Pro, open Customers from the left menu.
- Clear any filters on the list, unless you only want part of it. The export sends the list the way it's filtered.
- Click Actions on the right, next to Create customer, then Export.
- The Export customer list window shows the email address the file will go to. Click Send file.
The email reached me about a minute later, from notifications@housecallpro.com with the subject "Housecall Pro customer export". The email says .csv, the attachment is a .zip named after your business with one CSV inside. Save the zip to your computer and leave it zipped.
A few things that trip people up:
- Only employees listed as Admins can export the customer list.1
- The file goes to the email of whoever is signed in, which may be a different inbox from the one you're reading.
- Housecall Pro says to check spam if nothing arrives within an hour.1
Step 2: Open Customers in Deepsel and click Import
Sign in to Deepsel as the account owner, the Import button only shows for the owner. Open Customers from the side menu and click Import, between Export and Add.

Step 3: Pick Housecall Pro as the source
The window opens with Auto selected. Auto reads the column names and works out where the file came from, so it would get a Housecall Pro file right as well. I click Housecall Pro anyway: the line under the buttons then says where the export lives in Housecall Pro, handy if you haven't run it yet.

Step 4: Choose the file
Click Choose file and pick the zip you saved from Housecall Pro's email. Deepsel opens the zip and reads the CSV inside. The file name shows up next to the button and Review turns on. Deepsel takes CSV, Excel (.xlsx) and zip files up to 20 MB.
Step 5: Review the column matches
Click Review. Deepsel reads the file and shows what it plans to do with it. Nothing is saved at this point, the review is a dry run.
The top line has the file name, the row count and "Matched as a Housecall Pro export". Under it are the ten customer fields as chips, green when a column in the file feeds that field. All ten are green here, Housecall Pro's export includes customer notes.
The table lists every column in your file with a few real values from it, and on the right what it imports as. White rows get imported. Yellow rows are left out. In my file 16 columns are matched and 28 are left out. Most of the 28 belong to the second and third address: my export had three address blocks per customer (Address_1, Address_2, Address_3), Deepsel keeps one address per customer and takes Address_1.
The three phone columns all feed the one Phone field. Deepsel takes the first number it finds, looking at Mobile, then Home, then Work.

Step 6: Change a match if you need to
Every dropdown can be changed. Open one, pick a field, and the counts at the bottom are worked out again. Pick Don't import to leave a column out.
In the screenshot I opened the dropdown on Tags and left it on Don't import. Deepsel has no tag field on a customer. If you depend on tags, Notes is the one free-text field, and Housecall Pro's own Notes column already feeds it.

Two checks run while you do this. A customer needs a name or an address, so if no column feeds either one the chip turns red and the Import button stays off. And if no column feeds email or phone you get an amber warning: Deepsel then has no way to recognize the customers you already have, and every row would be added as new.
Step 7: Check the de-duplicate counts
Under the table is De-duplicate, with three numbers.
- New is the rows that match nobody in your account. 26 in my file.
- Existing, will update is the rows that match a customer you already have and carry something different. 6 in my file, and the line under the number says what changes: Phone 3, Notes 2, Street address 2, Zip 1, City 1.
- Duplicates, will skip is the rows that would change nothing, plus the rows that repeat a customer from higher up in the same file. 9 in my file: 8 already up to date, 1 repeated in the file.
Matching goes by email first, then phone. An empty cell in the file never erases a value you already have in Deepsel.
Housecall Pro writes one row per customer, so repeats are rare. My one repeated row was a customer somebody had entered twice with the same mobile number, it's skipped with the reason "Same customer as row 25". Two of the six updates are notes: Housecall Pro had a note on the customer and Deepsel had none.
Click Show skipped rows to see each skipped row with its row number in the file and the reason.

Step 8: Click Import
The button says how many customers it's about to write, new plus updated: Import 32 customers. Click it. The result repeats the numbers from the review: 26 added, 6 updated, 9 duplicates skipped.

Step 9: Check the result
Click Close. The list reloads with the newest customers on top and a green confirmation.

Open one to check it. I opened Linda Park, the office manager at Piedmont Ridge Dental. The note from Housecall Pro is there, and Street Line 2 (Suite 310) is joined onto the street line. The phone reads 4045550151 because that's how Housecall Pro wrote it. A company is listed under its contact person when the file has one, and the company name is saved on the record (click Edit to see it).

Every imported customer comes in as Active, with no units and no membership, and with reminder consent switched off for text and email.
After the import
The import brings over who your customers are. The agreements are the next job: for each member add the equipment, attach the plan, and put a card on file if that's how you bill. If you've been on Service Plans in Housecall Pro, Housecall Pro service plans, explained covers what that module tracks and what the office still does by hand.
Run the import again whenever the list in Housecall Pro has moved on. Customers already in Deepsel are matched and either updated or skipped, the new ones are added.
Frequently asked questions
Will importing the same file twice create duplicates?
No. I ran one of these files a second time right after importing it and got 0 added and 0 updated, every row was skipped as already up to date. Rows are matched to the customers you have by email first, then by phone.
Do I need to unzip the file first?
No. Upload the zip the way it arrived. Deepsel opens it and reads the CSV inside. If you already unzipped it, upload the CSV, that works too.
A customer has several addresses in Housecall Pro. Which one comes across?
The first one, Address_1. Deepsel keeps one address per customer. The second and third address are in the file and show up in the review as yellow rows that aren't imported.
Why do the phone numbers have no dashes?
Housecall Pro exports every phone as ten bare digits and Deepsel stores what the file holds. Matching still works: (404) 555-0151 and 4045550151 count as the same number.
Do customers marked Do Not Service come across?
Yes, as ordinary active customers. The Do Not Service column is in the file and Deepsel doesn't read it. Delete those rows before you upload, or delete the customers in Deepsel afterward.
The export has a customer I never created. Where did it come from?
My account had a sample customer that Housecall Pro created during onboarding, and it was the first row of the export. If yours has one, delete the row before you upload or delete the customer in Deepsel afterward.
Does Deepsel stay in sync with Housecall Pro after the import?
The import is a one-time copy, run it again whenever you want to catch up. Ongoing customer and schedule sync with Housecall Pro is part of the Pro plan, which is marked coming soon on the pricing page.
