The 8 best free HVAC maintenance agreement templates in 2026, actually reviewed

  • One of the eight is ours. It gets the same checklist as the other seven, and I say "ours" every time it comes up.
  • Ours asks for no email. Where another template asked for one, I clicked the button myself to find out, and I say what happened.

Short version: if you want a file you can put in front of a customer tonight, take our template (Google Docs copy, Word or PDF, no email). It's the only free one with an equipment schedule that records filter sizes, a rule for what happens to a paid visit nobody booked, and auto-renewal language written for card-on-file billing and state renewal laws. I stopped reading the template pages and downloaded the files instead. Eight of them, read against the same nine clauses, the ones that end up in arguments: which system is covered, who was supposed to book the visit, what happens to the discount when someone cancels.

The short list

  • Only three of the eight hand you a document with no email and no account: ours, ServiceTitan's and eForms'. LeadDuo's PDF is ungated too, but it's a two-page fill-in sheet; the actual clauses sit on the web page.
  • Three are gated. PandaDoc and Jotform want an account before you can use the template. Housecall Pro wants a seven-field form, including your phone number.
  • Five have an auto-renewal clause (ours, ServiceTitan, Jotform, Relay, LeadDuo). One mentions state auto-renewal laws or card-on-file consent. That's ours, and it's the reason I wrote it.
  • Three list equipment by model and serial: ours, Jotform (with a typo in the header) and Relay. LeadDuo takes make and model only. ServiceTitan, eForms and PandaDoc have no equipment fields at all. Filter sizes appear in one file.
  • Two say anything about a paid visit that never got booked: ours (it expires only after three logged booking offers) and LeadDuo (a refund ladder). The other six are silent, and silence is how the "I paid for two and got one" call starts.
  • The page Google ranked second for this query on August 31 is a May 2023 listicle that hosts no file. The oldest file still ranking is from August 2024. Two of the eight below were updated in the last three months.

Which free HVAC maintenance agreement template has the most complete clauses? Ours, and here's the strict version

Our template is a ten-page agreement with two appendices, written for a residential shop that sells one or two tune-ups a year with a repair discount and priority service. Three formats, no email: a Google Docs link that makes your own copy in one click, a .docx, and a PDF.

What it does that the others don't. The covered-equipment table has columns for filter sizes, UV bulb and location, and section 2 says the benefits apply only to systems in that table. That's the multi-system argument settled in one sentence. Section 3.4 puts the booking job on both sides: the shop sends at least three logged booking offers per season, and the member can book any time without waiting. Section 4 then says a paid visit expires only after those three offers; otherwise it carries 60 days into the next plan year. Sections 7 and 8 carry the card-on-file authorization sentence, a retry-and-notify rule for a failed payment, a renewal notice 30 days out that states the price, and cancellation by email, text, mail or online. The discount clawback in 5.3 is limited to 90 days and capped. Appendix A is a Bronze, Silver and Gold sheet. Appendix B names the automatic-renewal-law states and Florida's service-warranty statute in plain language.

What's missing, graded as hard as the rest. It's residential only: no certificate of insurance, no net-30 invoicing, no multi-site schedule (the commercial variant is a separate page). Ten pages is a lot for a kitchen-table signing. The 30-day workmanship warranty default is on the short side. And it hasn't been through an attorney yet; the Florida paragraph in particular needs a Florida lawyer before you lean on it.

Use this if you sell residential plans and want the clauses that stop the three usual arguments before they start.

Is ServiceTitan's free HVAC service agreement template any good?

It's a two-page fill-in PDF, direct download from the page, no form. The page is dated July 8, 2026; the PDF's own metadata says the file was built in June 2025.1 Nine boxes: parties, scope checkboxes (preventive maintenance, repair, installation, emergency, other), a pricing table with per-hour and flat-fee lines, payment terms, an after-hours policy, warranty, term and termination, liability, signatures.

What's good: the renewal sentence is real. "Maintenance plans auto-renew unless canceled 30 days before renewal." Liability is capped at the amount paid. It's the cleanest form on this list to fill in on a clipboard.

What's missing: any equipment field (no model, serial or filter), a visit count, season windows, a discount, a definition of priority, and card-on-file language. The next line after the renewal sentence lets either party terminate on 14 days' written notice, with no refund rule to point at when a member walks in month five. Much of the page under the download is a pitch for ServiceTitan's software, which starts at a price a two-truck shop won't pay.

Use this if you want a one-pager the customer signs at the kitchen table and you keep the real plan terms on a separate sheet.

Is the eForms HVAC service contract template worth downloading?

PDF, Word or ODT with no email, from the "Basic Download" buttons. "Updated August 30, 2024," 5,584 downloads, 4.7 stars.2 Four pages, 21 numbered clauses.

What's good: it's a proper independent-contractor agreement, with governing law, severability, default and confidentiality clauses. Lawyer-shaped.

What's missing: it's written from the client's side (the URL path is employment, independent contractor, service contract), and it's a general services form with HVAC pasted in. Clause VIII: "all property provided by the Client, including, but not limited to, cleaning supplies, uniforms, equipment, and any other items must be returned by the HVAC Provider." The word "renew" doesn't appear. No equipment schedule, no discount, no priority, no visit count.

Use this if a commercial client hands you their own paper and you want a neutral contractor agreement to counter with. Not for a membership program.

What's in PandaDoc's HVAC maintenance agreement template?

The full text is on the page, readable and copyable, "Used 4,943 times." The "Use this template, free" button goes to app.pandadoc.com and asks for a work email and a password under the heading "Start a free account to continue."3 The title says 2026; the page carries no dateline.

What's good: the scope is HVAC maintenance for real. Coils, filters, motors and belts, and a written report after each visit.

What's missing: every number is "(state the amount)." No auto-renewal, no equipment table, no discount, no priority. And clause 5.2.1 reads: "The Contractor shall not be liable for any damages caused directly or indirectly by the HVAC system, including but not limited to property damage, personal injury, or death." A homeowner's lawyer will read that sentence out loud in a room you don't want to be in.

Use this if you already send documents through PandaDoc and you'll paste in the renewal and equipment clauses yourself.

Does Jotform's HVAC maintenance agreement template need an account?

Yes. "Use Template" opens the Jotform Sign builder with a "Sign Up for Free" button in the header. The PDF preview is viewable without one. 651 clones, no dateline, and a disclaimer that Jotform isn't giving legal advice.4

What's good: the document underneath has an equipment table (make, model, serial, maintenance frequency, price) and a real renewal clause: "automatically renewed for 12 months unless either party provides written notice of termination at least _______ prior to the end of the current term."

What's missing: the table header reads "Equipment Make/Modal." The termination clause lets either party end the agreement immediately, and then "any remaining prepaid service fees shall be refunded on a pro-rata basis," which is the opposite of protecting a visit the member never booked. No discount, no priority, no pricing guidance.

Use this if you already collect signatures in Jotform and you'll fix the typo and rewrite the refund clause.

Is Relay's HVAC service contract template a real template?

It's a page, not a file. Relay is a business banking company, and its May 20, 2026 article prints the agreement on the page: a covered-equipment table (unit, type, make, model, serial, age, location), Bronze, Silver and Gold checkboxes, renewal for successive one-year terms with 30 days' notice and the line "Renewal pricing may be adjusted by up to [X%] annually," a repair-discount line, exclusions and a pro-rata refund.5 There's no download button and no e-sign.

What's good is the guidance around it. A tier table ($179, $269 and $429 a year, with monthly equivalents), and the visit-cost math most shops skip: "A $269 annual plan with two visits in it has to cover roughly $134 of delivered cost per visit."

What's missing: the file. Also no visit-expiry or booking-responsibility language, a pro-rata refund, no state-law note, and a card-on-file checkbox with no consent sentence next to it.

Use this if you're designing tiers. Read it, then take a file from somewhere else.

What does LeadDuo's HVAC maintenance agreement template include?

LeadDuo makes ServiceHub, a maintenance-plan product, so this is a competitor's page; its founder discloses that on r/ProHVACR.6 It publishes the fullest copy-paste text on this list, "Updated Aug 25, 2026." The Download PDF button is ungated, but the PDF is a two-page fill-in sheet (systems 1 to 3 by make and model, visit frequency, annual price, included and excluded checkboxes). The clauses live on the web page.7

What's good: covered systems by make, model and unit type; one or two visits with named windows; member benefits spelled out (priority dispatch "typically within [24] hours," 10 to 15 percent off parts and labor, a waived diagnostic fee); a refund ladder ending in "No refund is issued after all scheduled visits for the agreement year have been completed"; renewal for one-year terms with 30 days' notice and a promised renewal notice; a tier table from $149 to $449 per unit; a commercial section.

What's missing: serial numbers and filter sizes in the schedule (the guidance tells you to attach an exhibit; the template doesn't include one). No booking-responsibility language, so under the refund ladder a visit the shop never offered still counts. A "within 24 hours" priority promise you will break in July. No card-on-file consent, no failed-payment rule, no state-law note.

Use this if you want copy-paste clauses with strong benefit language and you'll add the equipment detail and the booking rule.

Is Housecall Pro's HVAC maintenance contract template free?

Free, not open. "Download now" opens a form titled "Download template" with seven fields: first name, last name, phone number, email, company, company size, industry. I clicked it on September 5.8 What you get, per the page, is a spreadsheet workbook: a "Company & Customer Details" tab, a "Contract Details" tab, and "Printable Contract" tabs that auto-populate. No dateline, and no clause text on the page.

I didn't hand over a phone number to read it, so the clause columns in the table say "unknown," and that's the honest grade. If you're on Housecall Pro and want a template in the house style, it's there. If you're on Housecall Pro and trying to run plans, the service plans page covers what the Max tier does and doesn't do.

Templates I looked at and left off the list

esign.com (eForms' sister site) prints eight clauses on the page with a copy button, "Last updated May 17th, 2025," but payment is "$[RATE]/Hour" paid "every week," an hourly contractor frame.9 SignHouse puts "100% Free" in its title, and its own how-to says "you'll have to introduce your email address."10 LegalTemplates runs a questionnaire, "Last updated March 2, 2026," and when I clicked PDF it said "Create a free account to continue."11 On Template.net, the Download button opened a paid-plan pitch before anything downloaded.12 Notion's marketplace listing ranked fourth in Google on August 31, but it's a generic contract page you duplicate into a Notion workspace, not a document you can sign.13 BuildOps' "Top 10" roundup, updated September 17, 2025, lists BuildOps itself at number one and hosts no file.14

About Hatch's list of seven templates

The page Google ranked second for "hvac maintenance agreement template" on August 31 is Hatch's "7 Free HVAC Service Contract Templates," dated May 26, 2023.15 It hosts no template. Of its seven picks, one costs money (Revv: "You will have to pay $5 to download it though"), one is an installation contract (Jotform's), and its number-one pick, a real New York contractor's agreement from Arista, is introduced as "Airstair's." The gated "playbook" version emails you the same list. Three years is a long time in a category where two of the eight files above changed in the last three months. Hatch sells messaging software and the page ends in a demo request, which is fair; this one ends in a trial link, and I'd rather say so.

How we evaluated

On September 5, 2026, I opened every page in a browser, clicked every download or "use template" button, and saved what came back: a PDF, a Word file, page text, or a signup form. Then I read each file against the same nine items: equipment schedule, per-system scope, visits owed and who books them, what happens when a paid visit expires, auto-renewal and its notice, card-on-file consent, repair-discount rules including cancellation, a definition of priority, and pricing guidance. "Gate" means the document did not arrive without an email address or an account. Datelines are the ones printed on the page; for ServiceTitan I also read the PDF's metadata. Where a template sits behind a form I didn't fill in, I wrote "unknown" instead of guessing. The list was checked against Google's results for the template queries on August 31, so it covers what you'd actually find. After you pick one

A signed agreement starts the program. Running it is a different job: knowing who's due this season, charging the card on the renewal date, and catching a paid visit before it expires. What's the best free HVAC service contract template?

Same document, different name. For a residential maintenance plan, our template is the most complete free file (Google Docs, Word or PDF, no email). If you want a one-page checkbox form the customer signs on a clipboard, ServiceTitan's PDF is free and ungated. If a commercial client wants a neutral contractor agreement, eForms' form is the lawyer-shaped one, with no membership clauses.

Is there an HVAC maintenance agreement template in Google Docs?

Ours is the only one on this list with a one-click Google Docs copy and no email. SignHouse lists a Google Drive format, but its own instructions say you enter an email first. Template.net's Google Docs format sits behind its paid plan. Notion's marketplace listing is a Notion page you duplicate into a workspace, which is not a document you can sign.

Do I need a lawyer to write an HVAC maintenance agreement?

Not to write the plan itself. When an owner asked exactly this on r/hvacadvice in November 2025, the top answer was two names for the same thing, no lawyers needed, keep it simple and clear. Pay for an hour of local review before you bill monthly to a card on file in a state with an automatic renewal law (California, New York, Massachusetts, Minnesota, Virginia, Colorado), before you sell prepaid annual plans in Florida, and before you promise response times to commercial customers. An hour runs $200 to $400.

What's the difference between a maintenance agreement and a service contract?

In practice, nothing. Maintenance agreement, service agreement, service contract, service plan, membership and preventive maintenance agreement all describe the same prepaid document: visits owed, a repair discount, priority service, a renewal rule. The one place the words carry legal weight is Florida, where a contract of a year or longer, or with a repair discount above 20 percent, can count as a regulated service warranty. Everywhere else, pick the name your customers already use.
