How to import FieldEdge customers into Deepsel
- FieldEdge has no free trial, so I don't have an account to export from. The export steps come from FieldEdge's help center, read on September 28, 2026.
- The file in the screenshots is one I built from the column names in FieldEdge's help pages, with made-up customers. If your export comes out different, email it to tim@usedeepsel.com and I'll fix the importer.
- Deepsel is my own product.
To import FieldEdge customers into Deepsel, open the Customers list in FieldEdge, add the columns you want in the file, and choose Export All as CSV from the Actions menu. Then upload that file in Deepsel under Customers, Import. Deepsel already knows FieldEdge's column names, so names, phones, emails, addresses and pinned notes get matched for you. You check the matches, look at how many rows are new and how many are already in your account, and click Import.
Below is every step, with screenshots, using a 47-row export from a made-up Atlanta shop that already had 14 of its customers in Deepsel. The run added 26 customers, updated 6, skipped 14 rows as duplicates and left out 1 job row.

The import fills ten fields on a customer: first name, last name, company name, email, phone, street address, city, state, zip and notes. Here's which column of the FieldEdge file feeds each one.
| Column in the file | Lands in Deepsel as | Good to know |
|---|---|---|
| First Name, Last Name | First name, Last name | |
| Company | Company name | |
| Display Name | First name and Last name, or Company name | Only used when the name columns above are empty. Hollis, Patricia is turned around into Patricia Hollis |
| Customer Type | Not stored | Tells a company from a person on rows that only have a display name |
| Phone, Email | Phone, Email | FieldEdge lists the primary phone and the primary email, one of each1 |
| Address 1, Address 2, City, State, Zip | Street address, City, State, Zip | Address 2 is joined onto the street line: 2045 Peachtree Rd NE, Suite 310 |
| Full Address | Street address, City, State, Zip | Only used when the separate address columns aren't in the file |
| Pinned Note | Notes | |
| Is Job | Not stored | Rows with Yes in this column are jobs and are left out |
| Account ID | Not stored | Used to spot one record listed twice |
| Everything else: the billing address, agreement plan, dates, contact preferences, Customer Status, Tags Customer, tax group, terms, QuickBooks ID and the job columns | Not imported | These are the yellow rows in the review |
Two things never make it into the list, going by FieldEdge's own column descriptions, so they can't come across: a customer's secondary phones and emails, and additional contacts.1
Step 1: Export your customers from FieldEdge
- In FieldEdge, open Customers from the left menu.
- Check the Active filter at the top of the list. Leave it on Yes to bring over active customers only, or change it to include everyone.
- Click the Add Columns icon and tick the columns you want in the file. The export holds what's on the screen and nothing more,2 so add at least First Name, Last Name, Company, Address 1, Address 2, City, State, Zip, Pinned Note and Is Job. Save.
- Click the Actions icon next to the Customers title, then Export All as CSV.3
A few things that trip people up:
- Your login needs the Ability to Export List permission. An office admin sets it in Employee Settings, on the User tab.4
- FieldEdge lets you rename a column in a list view. Deepsel won't recognize a renamed column, match it by hand in step 6.
- On the older FieldEdge, where the Customers tab has a plain Export button that produces CustomerList.xlsx,5 upload that file instead. Deepsel reads that layout too.
Step 2: Open Customers in Deepsel and click Import
Sign in to Deepsel as the account owner, the Import button only shows for the owner. Open Customers from the side menu and click Import, between Export and Add.

Step 3: Pick FieldEdge as the source
The window opens with Auto selected. Auto reads the column names and works out where the file came from, so it would get a FieldEdge file right as well. I click FieldEdge anyway: the line under the buttons then says where the export lives in FieldEdge, handy if you haven't run it yet.

Step 4: Choose the file
Click Choose file and pick the CSV that FieldEdge downloaded. The file name shows up next to the button and Review turns on. Deepsel takes CSV, Excel (.xlsx) and zip files up to 20 MB.
Step 5: Review the column matches
Click Review. Deepsel reads the file and shows what it plans to do with it. Nothing is saved at this point, the review is a dry run.
The top line has the file name, the row count and "Matched as a FieldEdge export". Under it are the ten customer fields as chips, green when a column in the file feeds that field. All ten are green here, the Pinned Note column feeds Notes.
The table lists every column in your file with a few real values from it, and on the right what it imports as. White rows get imported. Yellow rows are left out. In my file 15 columns are matched and 45 are left out. I ticked every column FieldEdge offers for the screenshots, which is why the file has 60, and most of them are dates, billing details and job fields that Deepsel has no customer field for. Your file will be shorter if you only added the ten columns from step 1.

Step 6: Change a match if you need to
Every dropdown can be changed. Open one, pick a field, and the counts at the bottom are worked out again. Pick Don't import to leave a column out.
In the screenshot I opened the dropdown on Tags Customer and left it on Don't import. Deepsel has no tag field on a customer. This is also where you fix a column you renamed in FieldEdge: find it in the table, open its dropdown and pick the field it holds.

Two checks run while you do this. A customer needs a name or an address, so if no column feeds either one the chip turns red and the Import button stays off. And if no column feeds email or phone you get an amber warning: Deepsel then has no way to recognize the customers you already have, and every row would be added as new.
Step 7: Check the de-duplicate counts
Under the table is De-duplicate, with three numbers.
- New is the rows that match nobody in your account. 26 in my file.
- Existing, will update is the rows that match a customer you already have and carry something different. 6 in my file, and the line under the number says what changes: Phone 3, Notes 2, Street address 2, Zip 1, City 1.
- Duplicates, will skip is the rows that would change nothing, plus the rows that repeat a customer from higher up in the same file. 14 in my file: 8 already up to date, 6 repeated in the file.
Matching goes by email first, then phone. An empty cell in the file never erases a value you already have in Deepsel.
FieldEdge's customer list mixes three kinds of rows: customers, sub-customers (the extra locations of a customer) and jobs. Deepsel leaves job rows out when the file has the Is Job column, that's the line "1 row left out" under the cards. Sub-customers carry the parent's phone and email, so they're skipped with the reason "Same customer as row 2". That explains 5 of my 6 repeated rows. The sixth was a customer somebody had entered twice with the same phone number. The job row is also why the top line says 46 rows for a file that has 47.
Click Show skipped rows to see each skipped row with its row number in the file and the reason.

Step 8: Click Import
The button says how many customers it's about to write, new plus updated: Import 32 customers. Click it. The result repeats the numbers from the review: 26 added, 6 updated, 14 duplicates skipped.

Step 9: Check the result
Click Close. The list reloads with the newest customers on top and a green confirmation.

Open one to check it. I opened Linda Park, the office manager at Piedmont Ridge Dental. The pinned note from FieldEdge is there, and Address 2 (Suite 310) is joined onto the street line. A company is listed under its contact person when the file has one, and the company name is saved on the record (click Edit to see it).

Every imported customer comes in as Active, with no units and no membership, and with reminder consent switched off for text and email.
After the import
The import brings over who your customers are. The agreements are the next job: for each member add the equipment, attach the plan, and put a card on file if that's how you bill. FieldEdge service agreements, explained covers how agreements behave in FieldEdge and why they go inactive.
Run the import again whenever the list in FieldEdge has moved on. Customers already in Deepsel are matched and either updated or skipped, the new ones are added.
Frequently asked questions
Will importing the same file twice create duplicates?
No. I ran one of these files a second time right after importing it and got 0 added and 0 updated, every row was skipped as already up to date. Rows are matched to the customers you have by email first, then by phone.
Which columns should I add before I export?
At least First Name, Last Name, Company, Address 1, Address 2, City, State, Zip, Pinned Note and Is Job, next to the Display Name, Customer Type, Phone and Email columns the list already shows. The export only holds the columns on your screen. Without Is Job, Deepsel can't tell job rows from customers.
What happens to sub-customers and jobs?
Job rows are left out, as long as the Is Job column is in the file. A sub-customer is skipped as a repeat of its parent when it carries the parent's phone or email, which keeps one customer with the parent's address. A sub-customer with its own phone and email comes in as a separate customer.
I'm on the older FieldEdge and my export is CustomerList.xlsx. Does that work?
Yes. Deepsel reads that 15-column layout too, I tested it with a sample. Upload the .xlsx as it is and pick FieldEdge as the source.
Do inactive customers and prospects come across?
Inactive customers are only in the file if you change the Active filter before you export. Prospects are in the list with Prospect in the Customer Status column. Both come in as ordinary active customers, because Deepsel doesn't read those two columns.
My export doesn't look like your screenshots. What do I do?
Upload it anyway. If the layout isn't recognized, Deepsel matches columns by their names and you can set the rest by hand in the review. Then email me the file at tim@usedeepsel.com, I built this layout from FieldEdge's documentation and a real export is what I need to get it exact.
