FieldEdge service agreements, explained: Basic vs Advanced, why agreements go inactive, and what still needs a spreadsheet

FieldEdge service agreements are included on every plan as of September 2026: Basic agreements on Select, Advanced on Premier and Elite, all priced by quote. The module sells from the field, keeps a maintenance schedule and a billing schedule per agreement, and posts to a reserve account in QuickBooks. The documented weak spots are agreements flipping inactive when a visit misses its reminder date, and save errors that change dates.

FieldEdge has sold service agreements to HVAC shops since before most of its rivals existed, and it shows. So this isn't a page about a missing feature. It's about what "Basic" and "Advanced" mean, how the module handles the schedule and the money, and the two problems FieldEdge users write about most: reminder dates that flip an agreement inactive, and edits that don't save the way you typed them. Which FieldEdge plan includes service agreements?

All three, at two depths. FieldEdge's pricing page lists "Basic Agreements & Quotes" under Select and "Advanced Service Agreements" under Premier, with Elite inheriting everything in Premier. The feature table on the same page puts it in one row: Service Agreements, Basic on Select, Advanced on Premier and Elite.1 I pulled the tier picture below from that page on September 2, 2026.

Every cell in the price row says the same thing: nothing is published. Pricing "can vary" by technician count and add-ons, and you get a number on a demo call.1 The one user-reported figure I found in the trade subreddits is from a shop owner in June 2024: "Right now we're paying 350 a month for one office access and 3 techs… With that they're going to be charging 500 plus a month" for a fourth tech and more office logins.10 One data point, not a rate card. One contract detail matters here. You can upgrade any time, but you can only downgrade "at the end of your current contract period."1 Move to Premier for Advanced agreements and it's yours until the term ends.

What FieldEdge's service agreement module does

More than most FSMs at this price band, and I'll say so plainly. FieldEdge's own administrator training runs eight parts and about thirty minutes of video on agreements alone, and the outline is a decent map of the module.4

  • Setup is three objects. An Agreement Item (the thing you sell), pricing rules (the member discount), and an Agreement Plan, which FieldEdge calls "the third component in the agreement equation" that "controls the selling of the Agreement Item." Tick "Use Standard Pricing Rules" and the plan inherits your pricing and flat-rate settings.5
  • Selling happens in the truck. "Selling Service Agreements will primarily happen in the field," the training says, and part one covers how to sell from the mobile app and how the office finds unfinished agreements afterward.4
  • Each agreement has two schedules. A maintenance schedule (when the visits happen) and a billing schedule (when the customer pays), configured separately after the sale. Part three teaches how to read the next maintenance date and next payment date, book a visit off the agreement, and modify the schedule.4 How that maintenance schedule turns into posted work orders, and what it can't count, is covered in FieldEdge recurring jobs, explained.
  • Billing runs from the office or the field, a visit can be paid against the agreement, and there's a lesson on how automated payments affect agreements.4 The marketing page promises "automatic renewal and recurring payment options."3
  • Customers get told. Communication templates exist for upcoming agreement visits, and you can turn them on per template.4
  • The money is accounted for. FieldEdge posts agreement revenue to a Service Agreement Reserve account in QuickBooks, and a June 2026 knowledge-base article walks through building a per-customer report on that account.6 That's the money you already collected for visits you still owe, sitting in a place your accountant can see. Housecall Pro's module, by contrast, invoices completed plan visits at $0.00 with no link to the payment (details here).

Office managers on G2 tend to agree with the setup part. "The membership set up is pretty easy to use," wrote one at a small business in October 2025, before listing "customer support, reporting capability, ease of use for the field techs" as the dislikes.11

Basic vs Advanced service agreements, in FieldEdge's words

Here's the awkward part. FieldEdge doesn't publish a side-by-side of what Basic agreements lack. The pricing table says "Basic" and "Advanced" and stops.1 The only agreement-specific feature named on the Premier page is this one:2

Read the first row carefully, because it's the one that matters for HVAC. A house with a furnace and a condenser is one customer with two pieces of equipment. If "Multiple Agreements" is the Advanced feature, the reasonable reading is that Basic gives you one agreement per customer and the second unit rides along as a note. I couldn't confirm that from public documentation. So before you sign for either tier, ask the rep to open a two-unit customer on a Basic account and on an Advanced account and show you both screens. Get the answer in writing.

Why FieldEdge agreements go inactive, and why dates drift

This is the complaint that put FieldEdge's agreement module on my radar. Someone running the office at an HVAC shop, posting to r/hvacadvice on August 6, 2024:9

"90% of our service here is dependent on our maintenance contracts and I am so confused as to how to make this shit work… So the way our agreement works, they pay $170, they're good for 2 Tune ups 6 months apart from each other and 1 year of 20% off parts and labor. Putting in the agreements, the dates change for seemingly no reason, they'll switch to inactive if the maintenance isn't scheduled by the set reminder date, and half the time I try to save an agreement it just gives me errors over and over again and then change the dates that I had set and saves."

Three separate problems are packed into that paragraph. The reminder date is a tripwire: miss it without a booked visit and the agreement goes inactive, which is backwards for a shop whose whole problem is booking spring and fall visits on time. Dates move without an edit. And the save path errors, then writes different dates than the ones typed. Asked whether their FieldEdge rep could help, the poster answered: "They have not been very helpful." A contractor who had run FieldEdge and ServiceTitan side by side replied, "A similar thing happens with expired contracts there's a way around it," without saying what the workaround was.9

Two years on, FieldEdge is still shipping fixes in this corner. The release notes for August 19, 2026 include, under Agreements: "Fixed an issue where inactive agreement hyperlinks on the Customer Profile no longer appeared greyed out and instead looked like active agreement links," and "Fixed an issue where the Agreement Date was not automatically populating when creating a work order with multi-assignments enabled." The same release fixed a call-screen bug where "selecting a plan still applied the default agreement discount instead of the selected plan."7 None of these is a scandal. Together they mean the office can't fully trust what the screen shows on any given Tuesday.

The reviews say the same thing from the other side. A small-business office manager on G2, November 2024, uses FieldEdge for "dispatching, and site conditions as well as maintenence contracts," rates it two stars, and dislikes the "lack of capabilities within one single dashboard."11

What still needs a spreadsheet at a 1-4 truck shop

FieldEdge gives you a next maintenance date and a next payment date per agreement, an Agreements List, and a reserve account in QuickBooks. That's a good skeleton. Four things it doesn't do for a small shop, as far as the public documentation goes, and every one of them is a column in the sheet you'll end up keeping anyway:

  • Visits owed vs delivered, per unit. If Basic is one agreement per customer, the two-unit house needs a side count of which unit got its visit. Even on Advanced, nothing in the docs describes a running "2 owed, 1 delivered" ledger per agreement year. You get dates, and you infer the count.
  • When a card fails. Automated payments exist, and FieldEdge documents more here than most platforms at its price. Its communication templates send a Payment Declined message to the customer automatically when a saved card on a recurring agreement is declined, and a Credit Card Expiring notice 30 days before the next invoice date.12 The October 2025 release notes mention a missed autopay report.13 What isn't documented anywhere public: a retry schedule, a card updater, or whether the agreement stays active with the member discount applying while the invoice sits unpaid. Whoever works the missed-autopay list is your system.
  • Renewal follow-up that survives the tripwire. Because an unscheduled visit can flip an agreement inactive, your renewal list depends on the office booking visits before each reminder date. Fall behind for a month and the inactive list quietly absorbs customers who never cancelled. That's how agreements lapse silently.
  • An audit trail when dates drift. When a saved date doesn't match what you typed, you need to know what you typed. FieldEdge doesn't give you that; a sheet with a "date I set" column does.

Six practices for shops running agreements in FieldEdge

These come from the r/hvacadvice thread, the release notes, and the way FieldEdge's own training is structured. All of them work with what ships today.

  1. Put a buffer on every reminder date. If the visit is due in April, set the reminder for early March so an unscheduled visit has weeks of runway before the agreement can flip inactive. Set the same buffer on every agreement, so the office learns one rule.
  2. Pull the Agreements List every Monday and filter it to next maintenance dates in the coming 60 days. On Premier, save that filter as one of your ten reports. On Select, where saved reports are N/A,1 rebuild it and paste the result into the sheet. This is the who's-due list, and it's the one job the office can't skip.
  3. Screenshot before you save. Every agreement edit, every time, until you've gone a quarter without a date changing on its own. It costs three seconds and it's the only way to prove what you set when the saved value differs.9
  4. Reconcile the reserve monthly. Build the Agreement Reserve report FieldEdge's June 2026 article describes,6 group it by customer, and check it against visits delivered. If a customer's reserve balance is still full in month eleven, a visit is about to expire undelivered.
  5. Turn on the agreement communication templates from part six of the training,4 so the customer hears about the upcoming visit even when the office is behind. Then walk the inactive list once a week by hand, because until the August 2026 fix, inactive links on the customer profile looked identical to active ones.7
  6. One agreement per unit on Advanced, or a units column on Basic. If you're on Premier or Elite, use Multiple Agreements the way FieldEdge intends and give each system its own plan.2 If you're on Select, add "units covered" and "units visited" columns to the sheet and update them off the tech's checklist.

If practices two, four and six read like the spreadsheet you bought software to retire, that's the honest state of it. Twenty agreements, fine. Two hundred, and someone in the office owns this list as a job. FieldEdge's own benchmark is 250 agreements per $1 million of service revenue,8 so a shop doing what FieldEdge says it should is past that line by design.

Running the agreement ledger beside FieldEdge

Does FieldEdge have maintenance agreements?

Yes. FieldEdge calls them service agreements, and the module is on every plan as of September 2026.1 An agreement is built from an Agreement Item, pricing rules and an Agreement Plan, sold from the field, and carries its own maintenance schedule and billing schedule.4, 5 Agreement money posts to a Service Agreement Reserve account in QuickBooks.6 It's a real module, older and deeper than what Jobber or Housecall Pro ship.

Which FieldEdge plan includes service agreements?

All three. The pricing page lists Basic Agreements on Select and Advanced Service Agreements on Premier and Elite.1 Every plan is priced by quote, so the cost of moving from Basic to Advanced comes from your rep, and downgrades are only allowed at the end of your contract period. What is the difference between Basic and Advanced service agreements in FieldEdge?

FieldEdge doesn't publish a side-by-side. The one agreement feature named on its Premier page is Multiple Agreements: "different maintenance plans for your customers who have multiple pieces of equipment."2 Premier also adds saved custom reports (10; unlimited on Elite), work-order reminders and a Mailchimp integration for following up on agreements. Ask the rep to walk both agreement screens with a two-unit customer before you sign.

Do FieldEdge service agreements auto-renew?

The feature page says you can "boost renewals with automatic renewal and recurring payment options,"3 and the training covers how automated payments affect agreements.4 When a saved card on a recurring agreement is declined, FieldEdge sends the customer a Payment Declined message automatically, and a Credit Card Expiring notice goes out 30 days before the next invoice date.12 What the public docs don't describe is a retry schedule, a card updater, or what happens to the agreement's status while the invoice sits unpaid. Ask on the demo, and keep a failed-payment list until you've watched it work.

Why do FieldEdge agreements go inactive?

Each agreement carries a reminder date for its next visit. Per the r/hvacadvice report from August 2024, agreements "switch to inactive if the maintenance isn't scheduled by the set reminder date," dates change on their own, and saves error and then rewrite dates.9 The August 19, 2026 release notes fixed inactive agreement links that looked active and an Agreement Date that failed to populate on multi-assignment work orders.7 Practices one, three and five above are the workaround.

Can you export service agreements from FieldEdge?

The training ends with the Agreements List and the key reports built around agreements.4 Saved custom reports are Premier (10) and Elite (unlimited); Select shows N/A, so on Select you rebuild the filter each time.1 The public knowledge base doesn't say whether the list exports to CSV. Confirm it on the demo, because the weekly export is the backbone of every practice on this page.

How do FieldEdge shops track visits owed vs delivered?

Inside FieldEdge, by the next maintenance date and next payment date on each agreement, plus the Agreements List.4 For a per-unit count of visits owed against visits delivered, shops on Select keep a sheet with one row per agreement or per unit, updated weekly. Deepsel keeps that count automatically beside FieldEdge, and the free spreadsheet has the same layout if you'd rather run it by hand.

Does Deepsel integrate with FieldEdge?

No. There's no FieldEdge integration. Deepsel works beside FieldEdge: you import the customer and agreement list from FieldEdge's export or a spreadsheet, Deepsel keeps the ledger and the card on file, bills renewals with retries and failed-payment flags, and sends seasonal reminders with your booking link or phone number.
