FieldEdge recurring jobs, explained: where repeat visits come from, how they get posted and billed, and what the schedule can't tell you

FieldEdge recurring jobs don't exist as a feature by that name. As of September 2, 2026, repeat work in FieldEdge runs through service agreements: each agreement carries a maintenance schedule, and FieldEdge can post those visits to the dispatch board as work orders a set number of days ahead, on every plan. What it doesn't keep is a count of visits owed against visits delivered per member.

Not as a standalone feature. FieldEdge's own guide to creating a work order lists what a new work order can do the moment you save it (Schedule Now, Book for Later, or Create Work Order), plus a task, a duration, a lead source, a description, and an optional primary tech with a start date and time.2 There's no repeat interval, no end-after-N-visits, and no recurrence field anywhere on the form. A FieldEdge blog post comparing itself with Jobber does list "Schedule recurring jobs" as a feature,18 and that's true in the sense that matters: the recurrence lives one level up, on the customer's agreement.
Here's FieldEdge's own framing, from its Agreement settings article: "FieldEdge can help manage Agreement Tasks by automatically discounting specific Items for Agreement customers, sending billing or service reminders, and deactivating Agreements no longer being billed."3 Every agreement carries two schedules, a maintenance schedule for when the visits happen and a billing schedule for when the customer pays.5 The maintenance schedule is the recurring-jobs engine.
Every plan has it. The pricing page lists Service Agreements as Basic on Select and Advanced on Premier and Elite, with Scheduling and Reminders ticked on all three and no "recurring" row at all.1 (Reminders on that table are the to-do notes you pin to a work order. Different thing.) What Basic and Advanced mean is on the FieldEdge service agreements page; this one is about the machinery underneath either tier. For a shop selling spring and fall tune-ups the design fits: the visit exists because the agreement exists. The catch is a monthly filter route for a customer with no agreement, which has no home until you put it on a plan anyway.
How recurring work gets set up in FieldEdge
Four objects, built in this order. Every name below is FieldEdge's.
- Create an Agreement Item. A non-inventory item with a rate, marked "Exempt from agreement discount."7 It's the line on the renewal invoice.6
- Create an Agreement Plan. A name (25 characters max), the item, a description your techs see on mobile, and the pricing rules: Discount Applied, a member-price Diagnostic Item, and an Agreement Labor Rate.6 FieldEdge wants one plan per billing cadence: "if you allow Customers to be billed monthly, quarterly, or annually, then you should also create a monthly, quarterly, and annual 'standard' Agreement Plans."6
- Set the Agreement settings. The default discount, the checkbox "Allow users to select a technician and time when creating a maintenance schedule," the field "Agreements should be Posted _ Days in Advance," weekend reminders on or off, and automatic or manual deactivation.3
- Sell the agreement, then configure its schedules. "Selling Service Agreements will primarily happen in the field," the training says, and the office finishes the sale by setting up the Maintenance Schedule and the Billing Schedule.5 Each line on the maintenance schedule pairs an Agreement Task with a technician,4 and the covered equipment attaches in the same section, with one rule: "a piece of equipment can only be associated with a single agreement."8
- Let FieldEdge post the work orders. With the scheduling checkbox on and a number in the days-in-advance field, FieldEdge will "automatically post Agreement Work Orders to the Dispatch Board based on their Technician and the Time of the Work Order."4 Leave it off and the office books each visit off the agreement by hand, working from the next maintenance date.5
Then the customer reminders. Three agreement templates fire off the Next Service Date at 14 days, 7 days and the day before, by email, text or phone call, on one condition: "Agreement must have the Appt. confirm checkbox selected."9 Read that beside the settings article: to auto-schedule a tech, "you need to make sure that when you are in an Agreement that the Appt. Confirm box is unchecked."3 As I read the two together, each agreement gets auto-posted work orders or the reminder sequence, one or the other. Ask your rep to show both on one agreement; no single page says whether they coexist.
What you can and can't change after it's created
You can edit the schedule. The docs just don't describe the edges.
- Changing a date or a tech. The training has a lesson on modifying a maintenance schedule,5 and the auto-scheduling article walks one edit end to end: open the agreement from the Anticipated Upcoming Events report, "click into the Tech field and select the new Technician," then Update.4 Same path for a date.
- Skipping a visit. The public docs don't describe it. What they describe is the failure mode around it. Automatic Deactivation is a setting FieldEdge recommends turning on, "ensuring that you are not providing discounts to customers who should no longer be covered by the benefits of their Agreement."3 An office manager whose shop runs "90% of our service" on maintenance contracts described the other face of that setting on r/hvacadvice in August 2024:
"Putting in the agreements, the dates change for seemingly no reason, they'll switch to inactive if the maintenance isn't scheduled by the set reminder date, and half the time I try to save an agreement it just gives me errors over and over again and then change the dates that I had set and saves."20
- When a tech leaves. "Any assigned Agreement Work Orders will be posted as an Unassigned Work Order."4 The fix is to filter the Anticipated Upcoming Events report by tech and reassign each line.4
- Dates that move on their own. The release notes keep touching this corner: a draft agreement work order that "would not advance the date" when reopened (October 2025),14 agreement work orders showing as scheduled with no primary tech assigned (April 2025),16 and an Agreement Task drop-down defaulting to an inactive option (April 2026).15 None is dramatic. Together they're why people screenshot an agreement before saving it.
How recurring work bills in FieldEdge
Two modes, chosen per agreement: bill from office, or bill from the field.10, 12
Bill from office is the subscription mode. The Billing Schedule is a timetable of invoices with a Next Invoice date, and "FieldEdge will automatically provide an Invoice to the customer based on the Next Invoice date of the Timetable information."10 To make it charge a card, open the agreement from the Agreements list, pick an invoice line, choose Send Invoice, then Add Credit Card Payment, and save the card as a token; from then on the customer is "billed based on the saved card information, on the Next invoice date."10 A tech can capture the same token at the visit by ticking "Save for autopay."11 Bill reminders go out 14 and 7 days before the next invoice date.9 That's the "automatic renewal and recurring payment options" the feature page promises,19 and it is automatic.
Bill from the field means the tech collects at the visit, and with reserves on FieldEdge recommends that "the agreement billing falls on the first maintenance visit."12 Reserves recognize the income when the visit is done, need a FieldEdge agent to switch on, and since June 2026 can't be switched off from web settings.12, 17
When a card fails. FieldEdge documents more here than most platforms at its price. A Payment Declined communication is sent "automatically" when "Customer has a recurring Agreement. Customer has a saved Payment Method. The Payment Method has been declined."9 A Credit Card Expiring notice goes out 30 days before the next invoice date if the card will have expired by then.9 The October 2025 release notes mention a "missed autopay report."14 Not described anywhere public: a retry schedule, a card updater, or what the agreement's status does while the invoice sits unpaid. The member hears once. After that, when a card fails nobody really has a system unless your office builds one around that report.
Recurring work vs a maintenance agreement ledger in FieldEdge
An agreement needs eight things to run itself. Here's which ones FieldEdge's maintenance schedule and billing schedule cover, per the documentation, and which ones it leaves to you.

Five yeses out of eight is a better score than Jobber or Housecall Pro get on the same list, and I'd rather say so than pretend otherwise. The three gaps are the ones that decide whether a renewal is a fair ask.
When FieldEdge's recurring work is enough, and when it isn't
It's enough for a 1 to 4 truck shop that sells one plan, bills from the office on saved cards, covers one system per house, and turns auto-posting on. FieldEdge then posts the spring and fall work orders itself, reminds the customer three times, invoices and charges the renewal, and shows who's due in the Anticipated Upcoming Events report.4, 9, 10 The office's remaining job is dragging the posted tiles into slots that fit the route.
It stops being enough in four situations. A spring visit gets cancelled in a no-cool week, the fall work order posts as if nothing happened, and no document describes a per-member tally that would show the member paid for two and got one.5 A two-system house on Select, where "one agreement per piece of equipment" meets a Basic tier that may allow one agreement per customer, so the second furnace rides along in the notes.8 A declined card, where the member gets one automatic message and the agreement's fate afterward isn't spelled out.9 And agreement customers who want to pick their own slot: the June 2026 Online Booking feature lets a customer "request appointments through a web-based portal" with a Service Type such as "Maintenance," but the docs treat it as new-lead intake, with nothing about the request landing on an existing agreement visit.13 A shop owner leaving the legacy ESC product wrote in November 2025 that they wanted something "a little bit more friendly for my customers as far as reminders, soft booking appointments, and tech on the way tracking."21 FieldEdge answers two of those three.
Questions to ask on the FieldEdge demo about recurring work
- With auto-posting on, when do a two-visit agreement's work orders appear on the board, and what happens to the second if the first is cancelled?
- Can one agreement both auto-post its work orders and send the 14-day, 7-day and day-before reminders, or does the Appt. Confirm box force a choice?
- Open a two-system house on a Select account and on a Premier account, and show both agreement screens.
- After the Payment Declined message, does FieldEdge retry, and does the agreement stay active with the discount applying?
- Can the Anticipated Upcoming Events report and the Agreements List export to CSV, and can I save the filter on my tier?
- Can a member use Online Booking for their own agreement visit, and does the request attach to the agreement or create a new lead?
- What exactly flips an agreement inactive, and if I reactivate it, is the unused visit still there?
The workaround shops on FieldEdge run
The same one every platform ends up with: a sheet with one row per agreement, kept beside the software, holding the columns FieldEdge doesn't have. Plan, renewal date, visits owed, visits delivered, last visit, card status, and a "date I set" column for the drift problem. The Anticipated Upcoming Events report feeds it weekly. Running the agreement ledger beside FieldEdge
This is the part I have a product in, so weigh it accordingly. Deepsel is agreement software that works beside FieldEdge, on any tier. It owns the three rows marked Partly and Not documented above, and leaves the five yeses where they are.
There's no FieldEdge integration, and I'd rather say that plainly than imply one. You export your customer and agreement list from FieldEdge, or hand Deepsel the sheet you already keep. From there Deepsel is the ledger: plan, covered equipment by model and serial, filter sizes off a nameplate photo, card on file, renewal date, and visits owed vs delivered per unit. It charges renewals, retries a failed card, flags the ones that stay failed, and messages the member. Each spring and fall it emails every member who's due (texts on Pro) with your booking link or office number, and warns you both before a paid visit expires unused. When a member books, your office creates the FieldEdge work order as usual. Dispatch, invoicing and the QuickBooks reserve account stay in FieldEdge.

Does FieldEdge automatically schedule agreement visits?
It can. In Settings, Agreements, ticking "Allow users to select a technician and time when creating a maintenance schedule" and entering a value in "Agreements should be Posted _ Days in Advance" tells FieldEdge to post agreement work orders to the dispatch board with that technician and time.3, 4 If the technician leaves the company, those work orders post as unassigned.4 The settings doc notes the agreement's Appt. Confirm box must be unchecked for a tech to be scheduled this way.3
Does FieldEdge send reminders for recurring maintenance visits?
Yes, three of them. The communication templates include a 1st, 2nd and 3rd Work Order Reminder sent 14 days, 7 days and the day before an agreement's Next Service Date, by email, SMS or phone, on the condition that the customer has an agreement and its Appt. confirm checkbox is selected.9 Reminders due on a weekend go out the following Monday unless weekend notifications are turned on.3, 9
How does FieldEdge bill recurring agreements?
Two ways. Bill from office: the Billing Schedule carries a Next Invoice date, FieldEdge sends the invoice on that date, and if a card has been saved as a token on the agreement (or a tech ticked Save for autopay in the field) it's charged on the Next Invoice date.10, 11 Bill from the field: the technician collects at the visit, and FieldEdge recommends putting the billing on the first maintenance visit.12 Bill reminders go out 14 and 7 days before the next invoice date for bill-from-office agreements.9
What happens when a card on file declines in FieldEdge?
FieldEdge sends a Payment Declined communication automatically when a customer with a recurring agreement and a saved payment method has that method declined, and a Credit Card Expiring notice 30 days before an invoice date if the card will have expired by then.9 The October 2025 release notes also mention a missed autopay report.14 The public docs don't describe an automatic retry schedule, a card updater, or what happens to the agreement's status while the invoice sits unpaid.
Does FieldEdge track visits owed vs delivered on an agreement?
Not as a count, as far as the public documentation goes. You get a next maintenance date and next payment date per agreement, the Anticipated Upcoming Events report, an Agreements List, and a dashboard card for agreements up for renewal.4, 5, 14 No document describes a per-member tally of visits paid for against visits completed, or a warning before a paid visit expires unused. Shops keep that in a spreadsheet or a ledger tool beside FieldEdge.
Does Deepsel integrate with FieldEdge?
No. There's no direct integration. Deepsel runs beside FieldEdge on any tier: you import your customer and agreement list from a FieldEdge export or a spreadsheet, Deepsel keeps the ledger, bills renewals with retries and failed-payment flags, and sends seasonal reminders with your booking link or office number. Booked visits go into FieldEdge as normal work orders. FieldEdge stays your system for dispatch, invoicing and QuickBooks.
