Service Fusion pricing 2026: what Starter, Plus and Pro cost, what's gated, and what unlimited users really buys you

  • Prices below are the list prices on Service Fusion's own pricing page. Service Fusion sells by demo, so your quote may land somewhere else. These are the numbers you'll be negotiating from.
  • I build Deepsel, a maintenance-agreement tool that works beside Service Fusion. That's relevant to exactly one section of this page, and it's labeled.

Service Fusion pricing, verified September 2, 2026: Starter is $208 a month billed annually ($245 month to month), Plus is $325 ($382), and Pro is $533 ($627). Every plan includes unlimited users and month-to-month billing. Card processing runs from 2.90% + 30¢. GPS tracking and the ServiceCall.ai phone system are priced separately, and there's no free trial.1

That's the answer the search result should have given you. The rest of this page is the part that decides your bill: what each tier gates, which fees sit outside the list price, what a 3-truck shop pays all-in, and the one feature (running maintenance agreements) where the price doesn't buy you much on any tier.

Every Service Fusion plan and price

Service Fusion charges a flat fee per company. There are no user bands and no per-seat fees, so the table has one price column per billing cycle instead of one per team size. The annual rate is 15% off the monthly rate and is paid up front.1, 4

Unlimited users on all three. Service Fusion's own FAQ: "No matter the plan you choose, you'll have unlimited users."1 All prices USD.

The four ways to pay

The pricing page shows two rates, but the help center lists four billing cycles. Monthly has no discount. Quarterly saves 5%, semi-annual saves 10%, annual saves 15%.4 Two things to read before you pick the annual rate:

  • The term auto-renews, and cancelling takes notice. The subscription agreement says the term "will automatically renew for successive periods equal to the initial term" and "either party may terminate this Agreement by providing 30 days' written notice prior to the end of the then current term." The help center says the same 30 days applies to "all account changes," downgrades included, and those go by email to support.4, 5
  • Fees are non-refundable. "All Fees are payable in United States Dollars, and non-refundable."5 Prepay a year and that year stays paid. The same agreement reserves the right to change fees on notice, so budget for the list price moving.

Month to month with no long-term contract is the honest headline. It's also a 30-day-notice, no-refund arrangement, which is normal for the category and worth knowing before the demo.

What each plan is actually for

Starter ($208-245/mo) is the whole dispatch loop: customers, estimates, jobs, drag-and-drop scheduling, invoices, payments, QuickBooks Online or Desktop sync, and one-way text alerts to customers. It's a complete system for a shop that quotes and invoices every day. What it lacks shows up the first time a tech wants to attach a photo to a job or the owner wants to know what a job cost. Inventory management and job costing are sold as add-ons on Starter; the price isn't published.1

Plus ($325-382/mo) is the tier Service Fusion labels most popular, and it's the one most 3-5 truck shops should price first. Photos on jobs, inventory, job costing, and two-way voice and text inside the platform. The $117 a month over Starter is mostly the job-costing and communication layer.1

Pro ($533-627/mo) holds the features that sound small and turn out to be the ones you wanted: the customer web portal, eSign, custom documents, open API access, and Progress Billing and Recurring Invoicing. If you run maintenance agreements and want Service Fusion to bill them on a schedule, this is the tier where that lives. More on that below, because it's a $208-a-month jump from Plus for a feature that still leaves the visit tracking to your office.1, 8

The fees that don't show on the pricing page

  • Card processing: from 2.90% + 30¢. Service Fusion Payments, powered by PaySimple, publishes "credit card processing rates as low as 2.90% + $0.30." That's the only rate on the page. No ACH rate, no keyed-in rate, no funding timeline.3 The subscription agreement adds that processing fees "are subject to change at the Company's discretion."5
  • GPS fleet tracking: priced separately, per vehicle. Available on any plan, price unpublished.2 Third-party reviews put it at $25-40 per vehicle per month plus $100-150 of hardware per vehicle up front. Treat those as estimates; they're from review sites, not Service Fusion.6, 7
  • ServiceCall.ai: custom quote. The in-platform phone system (business number, call queues, transcription) is priced separately on every tier. One review site guesses around $150 a month for a mid-sized team; again, an estimate.2, 7
  • Inventory and job costing on Starter: listed under Add Ons as "Included in Plus and Pro," meaning Starter shops pay extra for them. No public price.1
  • No free trial. The pricing page's only button is "Get Demo and Pricing." A Capterra reviewer who cancelled inside her first six months in 2023: "They do not offer a free trial and do not offer you a refund."13 Onboarding, on the other hand, is included: Service Fusion's own blog says every plan comes with personalized onboarding and phone, email and chat support.2

The real total cost (worked example: 3-truck HVAC shop)

Three techs, an owner who still runs calls, and an office manager. Five users, which on Jobber or Housecall Pro would sit right at a band line. Here it doesn't matter. Say the shop runs $25,000 a month through card payments across about 85 invoices.

Same lesson as every FSM: the subscription is the small line. Processing is where the money goes, and Service Fusion doesn't publish a bank-payment rate, so ask in the demo whether ACH is cheaper and by how much. The one place Service Fusion's model changes the math is headcount. Hire two more techs and this bill doesn't move. On Jobber Connect it would jump $80 a month; on Housecall Pro Essentials, $200.1

Unlimited users: where Service Fusion beats Jobber and Housecall Pro on price

Service Fusion's blog does the per-tech math itself: five technicians on Starter works out to $42 a head, ten to $21.2 That framing is fair once you're big enough for it to matter. Here's where the crossover sits, on annual billing, against the two platforms most 1-4 truck shops are also pricing (full breakdowns in the Jobber pricing and Housecall Pro pricing pages):

  • Up to 5 users: Jobber Connect is $149, Housecall Pro Essentials is $149, Service Fusion Starter is $208. Service Fusion costs $59 a month more and the extra buys seats you aren't using.
  • 6 users: Housecall Pro Essentials becomes $249 ($100 per extra user). Jobber Connect moves to its up-to-10 band at $229. Service Fusion Starter is still $208. This is the line.
  • 10+ users: Service Fusion is the cheapest of the three on the entry tier and stays flat. Reviewers on Capterra keep saying the same thing. A service coordinator at a facilities company, April 2026: "The amount of users (unlimited) for the cost, is the best value for money in comparison with similar software."13

The trade is feature-for-feature. Starter has no photo uploads or job costing; Jobber's and HCP's entry tiers have their own gaps. Compare the tier you'd actually buy, and compare it at the headcount you'll have in 18 months, since that's the number Service Fusion's flat price is built to reward.

Which plan by truck count

  • 1-2 trucks: Starter at $208 annual if you can live without job photos and job costing. If you can't, you're on Plus, and at that size Jobber or Housecall Pro will be cheaper for the same features. Run the numbers both ways.
  • 3-5 trucks: Plus at $325 annual. It's the tier the company itself pushes, and job costing plus two-way texting are the features a shop this size asks for first.
  • 6+ users, or growing there: this is where the flat price pays. Plus or Pro, depending on whether you need the portal, eSign and API. Pro's recurring invoicing is the other reason to go there, and it deserves its own section.

Service agreements: the one thing no tier does well

Service Fusion has a service agreement record. It's on every plan. Here's what it holds, per Service Fusion's own help center (updated February 2026): a start date, an optional expiration date, a member rate that applies discounted pricing while the agreement is active, and an amount field. About that last one: "This is the amount, if any, the customer pays for their maintenance agreement. At this time the amount field is a reference-only field."9 The agreement doesn't bill anything. Billing comes from a separate Recurring Invoice and scheduling from a separate Repeating Job, and you assemble the three by hand. Bulk import means downloading an xlsx template and emailing it to support, whose data team loads it for you.10

Recurring Invoices, the piece that would auto-charge a plan, lives on Pro. It repeats a standalone invoice daily, weekly, monthly or yearly, and auto-payment on it requires Service Fusion Payments.8 Nothing on any tier counts visits owed against visits delivered, and the reporting side has its own complaint thread. An owner and office manager at a 51-200 employee electrical company, on Capterra in April 2026: "Service Fusion's reporting is useless, as it's impossible to run a valid report on all active service/maintenance plans."13

The clearest version of the problem is a February 2025 thread on r/ProHVACR. The office manager at a 4-tech family shop paying, in her words, "I think its $500 a month," wrote: "their service agreement management is basically non-functional for our needs... managing them on my current excel spreadsheet is going to drive me up the wall." Pressed on what she needed, she was specific: "I don't need billing, we have recurring invoices set up in Service Fusion. I just need something that tracks if and when they get their 2 maintenance visits, renewal date, tier level, last visit date, etc." One reply, from a shop that had left: "Had service fusion for 5 years. This is the part I have a product in, so weigh it accordingly. Deepsel is the tracker that office manager was asking for, and it doesn't integrate with Service Fusion. You export your customer list, or the agreement spreadsheet you already keep, and import it. Deepsel becomes the ledger: plan, tier, covered equipment, visits owed vs delivered per unit, card on file, renewal date. It charges renewals on the card with retries and flags the ones that fail. Each spring and fall it emails every member who's due (texts on Pro) with your booking link or phone number, and the office books the visit in Service Fusion as a normal job, same as today. Starter at $208 plus Deepsel Starter at $79 is $287 a month. Pro, where Recurring Invoicing lives, is $533, and Pro's invoices still don't know how many visits a member has left. To be fair, Pro also brings the portal, eSign, custom documents and the API; if you want those anyway, buy Pro and run Deepsel beside it for the ledger. Does Service Fusion charge per user?

Which Service Fusion plan includes recurring invoicing?

Pro, at $533 a month annually. Progress Billing and Recurring Invoicing sit under Pro with the customer portal, eSign, custom documents and API access. Auto-paying a recurring invoice also requires Service Fusion Payments.1, 8

Does Service Fusion track service agreements?

It records them: start date, optional expiration, member rate, and a reference-only amount field. Is Service Fusion worth it for a 2-3 truck shop?

At five users or fewer you pay $59 a month more than Jobber Connect or HCP Essentials for seats you don't need. It starts winning on price around user six. Reviewers name price and unlimited users as the reason they chose it, and reporting, app speed and the maintenance-plan side as the weak spots.13 Owners on r/ProHVACR add outages ("at least 1x per month") and stay anyway, because the step up is a ServiceTitan contract.12 Worth it if you're hiring; a harder case at two trucks. How does Service Fusion pricing compare to Jobber and Housecall Pro?

Starter is $208 against $149 for Jobber Connect (up to 5 users) and $149 for HCP Essentials (5 users). From six users, HCP is $249, Jobber is $229, and Service Fusion is still $208. On maintenance agreements: HCP Max ($299) has a service-plan module, Jobber has none, and Service Fusion's recurring invoicing is on Pro ($533). None of the three keeps a visits-owed ledger.
