ServiceTitan recurring jobs, explained: recurring services, the events they generate, and what still needs a spreadsheet at a small shop

ServiceTitan has no feature called recurring jobs. What it has is recurring services: visit schedules attached to a membership at a service location, which generate recurring service events up to 12 months ahead. The office books each event into a job from the Follow Up screen. The service itself bills nothing, and nothing pings the office when an event comes due.2, 5, 11

Does ServiceTitan have recurring jobs?

Not by that name. ServiceTitan splits what other platforms call a recurring job into three objects, and the vocabulary matters because the help center, the Follow Up screen and the reports all use it.2, 5

ServiceTitan's own definition: "Recurring services are regular service visits that are typically included with memberships, for example, weekly pool cleanings or seasonal HVAC maintenance."2 "Typically" is doing less work than it looks. Every documented path to a recurring service goes through a membership. The manage article says you add a recurring service to a location "by adding it to an active membership at that location,"3 and the recommended workflow for attaching a recurring service to a job starts with: "If the customer does not have a membership set up, sell one."4 I found no article describing a recurring service on a location with no membership.

Which package, then? The pricing page never says "recurring services." It lists three per-technician packages with no prices, and "Customizable Memberships" sits in the greyed-out block on Starter and Essentials and in the included list on The Works.1 Since the recurring service rides inside the membership, a shop that wants this machinery is pricing The Works, by tech. What that costs, from owner reports, is on the ServiceTitan pricing page; the membership module itself is on the ServiceTitan memberships page. This page is about the visits.

How to set up a recurring service in ServiceTitan

Five steps, all from the help center. Budget an afternoon the first time, because the type has a lot of fields and the events won't book until every one the booking screen needs is filled in.

  1. Build the recurring service type. Settings, Invoicing, Recurring Service Types, Create. The form wants a name, tags, an invoice template, a Customer Portal display name, then the booking details: business unit, job type (which sets the duration by default), arrival window, job start time, priority, campaign and job summary. Arrival window and job start time each carry the note "Account configuration may be required."2, 31
  2. Set the schedule. Recurrence type is Weekly, Monthly, Seasonal or Daily, with an interval (Monthly plus 3 means every 3 months). Seasonal is the HVAC setting: pick the months, and events land "on the day of the month the membership is purchased." Duration type is continuous or a fixed number of visits, and there's a "First visit already complete" box to burn one visit at the sale.2
  3. Attach the type to a membership type. Settings, Invoicing, Membership Types, edit, Recurrences, Add Recurring Service. This covers memberships sold from now on; it "will not apply the recurring service type to already active customer memberships."28 Check the Event Offset while you're there: 12 months schedules the first visit a year out, and the fix is 0.26
  4. Sell the membership. When it's sold, "recurring services are attached to the customer service location with details including start dates, service recurrence, and preferred technician."2 Events generate from there, "up to 12 months, 364 days into the future" by default; the window can stretch to 36 months, which ServiceTitan says "may impact your account performance."5, 2
  5. Check that the events are Bookable. In Follow Up, filter Booking Availability to Not Bookable. Those events "are missing one or more required details and cannot be scheduled as a job until those details are provided," and the usual culprits are business unit, job type, campaign, arrival window and job start time.5 Fix the recurring service, and they flip.

Two rules that bite later. "A Recurring Service can be added to a single membership one time"; if you want more visits, raise the visit count or change the recurrence instead.3 And "Recurring services and events appear on the customer's service Location Record, not the Customer Record,"2 so a member with two addresses has two sets of everything.

How recurring service events get booked

By hand, one event at a time, or in bulk from Follow Up. Nothing lands on the dispatch board by itself. The help center's problem statement, verbatim: "RSEs auto-generate but do not automatically create jobs on the Dispatch Board. You need to book jobs manually for them to appear on the Dispatch Board."8

"The date of a recurring event lets you know when to schedule a service. You set the actual service date when you book the event into a job."5

So an event dated April 15 is a prompt, not an appointment. You can act on it from four places: Follow Up, the customer's membership, the location record, or the Call screen, where a "Use Recurring Event" button appears during booking.7 Follow Up is where a CSR spends the season. It filters by date, service type, Bookable status, technician, zone, zip, membership status and tags, turns the customer's phone and email into click-to-contact links, and exports to Excel or CSV.5 If the customer books, you click Book Job. If not, you log a follow-up, which stamps the event Contacted or Unreachable and can move its date.5, 23

Bulk booking is the feature to know about. Select the filtered events, click Book Events, optionally set a start date and a technician, and switch on "Book with Confirmation," which "only notifies customers who have notifications enabled."5 A 150-member spring list can go onto the board in one sitting, and the office then calls to firm up times. The guardrail runs the other way too: a job-type setting can require picking an event when booking, so an inbound tune-up call attaches to the member's event instead of becoming a stray job.9, 10

Who tells the office an event is coming? Nobody, by default. The help center answers the question directly:

"Currently, ServiceTitan does not send you automatic reminders for these upcoming events. It's a good idea to check the Follow Up tab or create a scheduled report to know what Recurring service events are upcoming."11

The same article says to "Check this section daily."11 Customer-facing reminders are a layer up. Recurring service SMS campaigns (up to four texts nudging the member to book) need account configuration and the Chat feature.12 Scheduling Pro closes the loop: it "automatically recognizes when a customer has a recurring service and allows them to book it through the online scheduler," and afterward "ServiceTitan marks the recurring service event as complete and links it to the invoice."13 That's a real self-serve tune-up booking, which most smaller platforms can't do. The pricing page lists Scheduling Pro and Marketing Pro under "Upgrade to Pro Products," without a price.1 Since June 2026 the Voice Agent can book recurring services too, inside a window you configure (the HVAC example is 14 days before a bi-annual tune-up).14

What you can and can't change after it's created

Most of it, one customer at a time, with a few one-way doors. Here's the map.

  • The schedule on one location. Open the service location, click the recurring service, and edit the recurrence, From date, visit count, preferred technician or memo. Switching the type "clears the previously entered information."3
  • One event's date. Don't edit the service. Open the event, click Log a follow-up, and use "Change Recurring Service Event Date." The warning: "It is not recommended to change the From/Start date of a Recurring Service if the status of any Recurring Service Event has been updated, as this could lead to events being missed or additional visits being created."15
  • All future dates for one member. Edit the From date on the recurring service in their membership and ServiceTitan recalculates the events. "This change is not retroactive and does not affect all Customer Memberships. You will need to adjust each customer's recurring service events one by one."16
  • Everyone at once. "ServiceTitan does not support the mass rescheduling of recurring services directly through the user interface." You email Technical Support with the new dates and customer names.17
  • Dismissing an event. Needs a permission. "Dismissing an event removes it from Follow Ups. Future recurring events at the customer's service location are not affected," and Dismiss All hits every event within your filters, including the ones off screen.18 It's one-way: "After the status of a Recurring Service Event is set to dismissed, it cannot be changed back to not attempted." The workaround is to delete the recurring service from the membership and add it again.19
  • Marking an event complete. From the job record, or on the tech's tablet under Location Info, so "the office doesn't schedule an extra, unnecessary job for work you've already performed."20, 21 Attaching an event to an already-booked job needs the invoice in Pending status, and "Posted invoices lock down edits," so a posted visit means unposting to fix it.5, 22 Also: "Job records don't have a specific indicator that they were booked from recurring service event." The suggested fix is a note in the job summary that CSRs are trained not to delete.20

The attach-to-an-existing-job step is the one owners trip on. An r/ServiceTitanFAQ post from May 2025: "Is there a way to add a job you've already booked to a service agreement visit? When I asked service Titan this is what it said but step 6, I don't the option to select an existing job." Another user answered: "You should be able to add the recurring service as long as the invoice hasn't been exported yet... If you 'Mark as Complete' a recurring Service Event, it will automatically add the related Service to the invoice."29 If events go missing altogether, the help center's checklist ends with "Click Save even if you make no changes. This action can help resolve any temporary glitches and make the missing RSEs appear again."27

How recurring services bill

They don't. The recurring service is the visit; the membership is the money, and ServiceTitan keeps them apart on purpose. The tip on the type's invoice template field: "Typically, the invoice template total equals $0.00. Recurring services are usually included with a membership, which is billed separately."2 The template article is stricter: "Make sure the total of all services equals $0.00," and for materials "the unit price must be $0.00. You cannot add chargeable material items to an invoice template."24 Adding a recurring service to a membership that's already active doesn't charge anyone either: "If you add a recurring service to an existing membership, the customer is not billed."3 To charge for a service, the help center says, "add the recurring service to an invoice or sell the service as a membership add-on during the initial membership sign-up."3

So the plan price, the card on file, the billing frequency and the renewal all belong to the membership, which bills through billing runs and automatic billing rules. A run tries the preferred payment method on the membership, then the primary method on the customer record, then the other saved cards oldest first. When a payment fails, the documented process is to check the reason, call the customer for a different method, and delete the failed payment from the invoice.25 The renewal and failed-card detail is on the memberships page. Extra work done during a visit "will be treated as a regular charge to the customer (not as part of membership billing)."5

Without a membership, the docs offer no recurring-service billing path at all, because they offer no membership-free recurring service. That's the honest answer to "can I use recurring services for a customer who just wants a standing appointment." You can, by selling them a membership.

Recurring services vs a membership vs a maintenance agreement at a small shop

Here's the same list of things a maintenance agreement has to track, against what each ServiceTitan object holds. It's the list from how to track HVAC maintenance agreements, and the point of the table is where the pieces sit, not whether ServiceTitan can do them. It can. It does them on several screens.

When recurring services are enough, and when they aren't

They're enough when someone owns the Follow Up screen. The design assumes a CSR who opens Recurring Service Events every morning, works the phone, logs follow-ups, and bulk-books what's left before the season turns. Add Scheduling Pro and a chunk of that list books itself. Sort by equipment age and the same screen becomes a replacement lead list.30 For a shop with an office, that's a strong setup, and I'd rather say so than pretend otherwise.

They're not enough when the CSR is you, between calls, in a truck. Then the parts that need a person are the parts that slip. Nothing reminds the office; the docs say check daily.11 The event carries no money, so a member whose card failed in February still has a spring event sitting in Follow Up looking normal. Visits remaining is a column on a custom report your package may not include.23 And the ledger (who's due, who's paid, which paid visits are still owed, what's expiring) is spread across Follow Up, the membership record, Billing History and a report. At 2 trucks and 150 agreements, that's where the spreadsheet comes back, next to the most expensive software in the trade.

What a 1 to 4 truck shop asking for "recurring jobs" usually needs

Two different people type "servicetitan recurring jobs." If you're already on ServiceTitan and want the tune-ups to appear on the board without a phone call, the answer above is: they won't, but bulk booking plus Book with Confirmation gets you most of the way, and Scheduling Pro gets the member to do it.5, 13 Set the seasonal months on the type so events land in April and October, put the Follow Up check on a calendar, and use the job-type guardrail so inbound tune-up calls attach to the member's event.2, 9

If you're shopping, coming from a platform where a recurring job is a job, ServiceTitan's version is better and bigger, and it comes bundled with the membership module on the top package, priced per technician. Owner reports on the pricing page put that in the hundreds per tech per month, before onboarding; whether it's the right buy at your size is what the memberships page works through with a 2-truck example. Either way, the five fields the ledger needs are in how to track HVAC maintenance agreements, and the free spreadsheet has them as columns while you decide.

Running the agreement ledger without ServiceTitan

This is the part I have a product in, so weigh it accordingly, and if you're on ServiceTitan and staying, skip it. Deepsel is the agreement ledger for shops that aren't going to buy The Works: 1 to 4 trucks, 50 to 500 agreements, running Jobber, Housecall Pro or no field-service software at all.

There's no ServiceTitan integration, and I'd rather say that plainly than imply one. You import your customer and agreement list from a spreadsheet or a customer export, and Deepsel keeps one record per agreement: plan, covered equipment by model and serial, filter sizes off a nameplate photo, card on file, renewal date, and visits owed vs delivered per unit. It charges renewals itself, retries a failed card and flags the ones that stay failed. Each spring and fall it emails every member who's due (texts with a self-serve booking link on Pro), and it warns you and the member before a paid visit expires unused. The visit itself gets booked in whatever you dispatch from.

Frequently asked questions

Does ServiceTitan have recurring jobs?

Not under that name. The equivalent is recurring services: a recurring service type built in Settings, attached to a membership type, and added to the service location when the membership is sold. The service generates recurring service events, one per visit, up to 12 months ahead by default, and each event waits in Follow Up until the office books it into a job.2, 5 As of September 2, 2026 the help center describes recurring services only as part of memberships.3, 4

Which ServiceTitan package includes recurring services?

The pricing page doesn't name them. It shows Customizable Memberships included on The Works and greyed out on Starter and Essentials,1 and every documented path to a recurring service runs through a membership ("If the customer does not have a membership set up, sell one").4 In practice, recurring services come with the membership module on The Works, priced per technician on a quote. Owner-reported numbers are on the pricing page.

Do ServiceTitan recurring service events create jobs automatically?

No. "RSEs auto-generate but do not automatically create jobs on the Dispatch Board. You need to book jobs manually for them to appear on the Dispatch Board."8 The event date tells the office when to schedule; the real date is set at booking.5 You can book one at a time, or select several in Follow Up and click Book Events.5

How do I book a recurring service event into a job in ServiceTitan?

Four ways: Follow Up, Recurring Service Events, click the event, Book Job; the customer's membership, click the event, book; the location record's Recurring Service Events section, click the event number, book; or the Call screen, Use Recurring Event, while booking.7 If the customer isn't ready, log a follow-up on the event, which records Contacted or Unreachable and can move the event date.5

Can I add a recurring service to a customer without a membership?

The help center describes no way to. Recurring services are added to a location "by adding it to an active membership at that location,"3 and the workflow for a new recurring service starts with selling a membership if there isn't one.4 Recurring services and events live on the service location record, not the customer record.2

Do ServiceTitan recurring services bill the customer?

No. The service's invoice template is expected to total $0.00 because "Recurring services are usually included with a membership, which is billed separately,"2 and material items on the template must be $0.00.24 Adding a recurring service to an existing membership doesn't bill the customer.3 The membership bills through billing runs and automatic rules; extra work on a visit is a regular invoice charge.25, 5

Does ServiceTitan remind the office or the customer when a recurring service is due?

Not out of the box. "Currently, ServiceTitan does not send you automatic reminders for these upcoming events," and the advice is to check Follow Up daily or schedule a report.11 Customer reminders need more: recurring service SMS campaigns require account configuration and Chat,12 Scheduling Pro lets existing members book their own recurring service online,13 and the Voice Agent can book inside configured windows.14 Scheduling Pro and Marketing Pro are listed under Pro Products on the pricing page.1

How do I change or reschedule recurring service event dates in ServiceTitan?

For one event, open it, Log a follow-up, Change Recurring Service Event Date.15 For all of one member's future events, edit the From date on the recurring service in their membership; that's "not retroactive" and is done "one by one,"16 and the help center warns against changing the From date once any event's status has changed.15 Mass rescheduling isn't in the interface; you email Technical Support.17
