GorillaDesk recurring jobs, explained: setup, the Complete-or-Cancel rule, and what a maintenance agreement still needs

GorillaDesk recurring jobs are the scheduler's Repeat setting, available on every plan. Pick a frequency, an interval and an end rule, and GorillaDesk generates the next visit each time you mark the current one Complete or Canceled. It schedules well. It doesn't bill the visit, count visits owed, or know when a plan year ends.
That's the short version. The rest of this page is the setup screen by screen, the rules that surprise people in month two, and the line between a recurring route and a prepaid agreement.

All three. The Recurring Jobs article lives in GorillaDesk's "Building Your Schedules" collection with no plan note on it,1 and the plan comparison page marks Scheduling and the Drag & Drop Calendar as included on Basic and Pro, with Growth carrying everything Pro has.16 Basic at $49 a month for one route also lists "Advanced Invoice Frequencies" and automated appointment confirmations and reminders.16 What moves up the tiers is the money side, and Service Plans:

How to set up a recurring job in GorillaDesk
The whole thing happens on the New Job window. Here's the desktop version, with GorillaDesk's field names.
- Click a time slot on the calendar and choose New Job. Customer, Location and Service come first; the service is picked from your service templates, and Length fills from the template. Date and Time come from the slot you clicked. Assign to defaults to whichever schedule you're looking at.2
- Set Repeat. Choose Daily, Weekly, Monthly or Annually, then Every for the interval, then Ends: Never, After "123" Jobs, or on an End Date.1 GorillaDesk's own example is a treatment that needs three visits 14 days apart: "Repeat: Daily, Every: 14 days, Ends: After 3 jobs. This will continue to generate job every 14 days from last completed and stops at the 3rd job."1
- Add Exceptions if you're seasonal. Month skips whole months ("Except > Month: December, January, February"). Condition skips a weekday occurrence, such as the 1st Thursday. Frequency stops this job from landing on the same day as the customer's other service, so a monthly bed bug visit steps aside when it would collide with the mosquito route.1
- Decide on Set to Confirmed and Lock. Set to Confirmed marks "the job and all future recurring jobs" Confirmed, which matters because reminders only go to confirmed jobs. Lock keeps a job from being moved to another date or time.2, 10
- Save. The current job becomes a live tile. Everything after it "will appear inactive or grayed out and cannot be opened until the current active job is marked Completed or Canceled."2
Two small settings pull their weight on recurring work: a job note can be told to recur as the job recurs, and a line item can be marked one-time so an initial-service charge drops off after the first paid invoice.15 On the mobile app the flow is the same, with the job opened from the calendar and closed by check-out and a status change.6
What you can and can't change once the series is running
Here's the rule that explains most support tickets. GorillaDesk generates future visits ahead of time and parks them on the calendar as Recurrence status jobs, and those tiles are placeholders:
"A recurring job in the series can be moved on the calendar, but you are unable to work on or edit this job type. All jobs must be toggled to Complete or Canceled for the next recurring service to be generated. At this point, the next service will unlock and become available."1
The completion guides say the same thing from the other side: "Changing the job status to Complete is the most important step, as this is what will unlock the next recurring job."6 So a tech who does the work and forgets the status leaves the next visit locked. GorillaDesk's diagnosis for a calendar full of grey tiles is blunt: "this means you have not been closing your jobs completely by elevating them to the Complete or Canceled statuses." For seasonal customers, the fix it suggests is to "update the last Active job to a new start date."1
Moving. Drag a job and GorillaDesk asks whether to "move this job only" or "move this job and all future jobs."7 Since March 31, 2025 you can have it remember that answer for the rest of your session, with an indicator you can click off.8 On the permissions side, Move All Recurring can be switched off per user, so a technician "can still move the current job but it will not affect the recurring job."9 That's the setting for the wish one owner posted in r/GorillaDesk in May 2025: "I wish you could lock an appointment with a note so if someone needs a 2pm service in 2 weeks, I don't accidentally change it as I am tweaking the schedule a week before."19 The Lock toggle covers the second half of that.2
Editing the schedule. Because the grey tiles can't be opened, changes to the Repeat settings happen on the current active job. The delete-a-customer guide describes the move in passing: open the active job and "change the job frequency to Does not repeat."5 The same field takes a new frequency or a new end rule.
Skipping one visit. Set it to Canceled. "Canceling a job will show the current job as canceled and void the attached invoice. The next recurring job will be generated and the recurring series will continue... You should think of this status as a skip."3
Ending the series. Three routes, and they're not interchangeable.
- Repeat off, then close. Change Repeat to off on the active job, then Complete or Cancel it. Order matters: "If you do not turn the job frequency off before completing or canceling the job, it will unlock the next recurring job and will continue to have an active job."5
- Delete the active job. From the customer's Jobs tab or the three-dot menu on the job. "This will stop the service and prevent any future recurring appointments from generating." Deleted jobs can be restored from the Deleted tab with Undelete.3
- Terminate Service. A job status for customers who've cancelled everything. It sets Job Repeat to OFF, deletes all associated recurring jobs, voids the invoice, needs the Delete Job permission, requires a reason you can't edit later, and "the action is irreversible." It feeds a churn count on the dashboard and the Service Lookup report. GorillaDesk's own distinction: "Cancel job status acts like skipping it, keeping recurring jobs scheduled. While terminate service job status deletes all future jobs."4
How recurring jobs bill in GorillaDesk
Each occurrence carries its own invoice. By default "your invoice will repeat with the job,"11 and a repeat-with-the-job invoice is bound to the visit: "If the job is rescheduled, cancelled, or deleted, the corresponding invoice may be affected."11 The invoice starts in Draft. You either email it or mark it Sent by hand, and "a balance will not be added to the customer's account until the invoice is in 'Sent' status."6 Then you add the payment. For a route you bill per visit, that's the whole loop.
When the billing cycle doesn't match the visit cycle (monthly billing for quarterly service is the classic), you give the invoice its own Invoice Frequency. Open the active job, edit the invoice, click the gear, set Repeat and Every for the invoice, and "once you've established the frequency of your invoice, scheduling changes to your job will not affect your invoice any longer."11 That frequency takes an action on the invoice date: "Charge to a card on file" or "Charge to a card on file and send a receipt." It needs Stripe or Square active and the customer's card stored, and it's available on Basic and Pro.12 A discount can be set to repeat on each recurring invoice,8 and deleting the active invoice deletes the recurring invoice linked to it.11
Pro adds Subscription Billing, a fixed charge on an interval through Stripe or Square that's separate from jobs altogether; GorillaDesk describes it as "primarily used when a customer is being charged a fixed amount for their services over a duration of time," and I've covered it, along with where it does and doesn't connect to visits, on the pricing page.13
Now the part the docs go quiet on. When a stored card declines, the help center's advice is that "most declines are generic, so we don't have much specific information as to why a charge was declined," and that the customer should contact their bank.20 I found no retry schedule, no card-updater and no automatic message to the customer in any of the articles above. What exists is a filter: since March 28, 2025, Growth's Smart Views can list "Customers with Expired Credit Card."8 A pest operator in June 2026 described the result from the field: "even when on AutoPay the card brands now allow to easily turn on and off cards so we get declines when we attempt payment. It's a recurring billing nightmare!"17 The visit still generates when the last one is closed. Whether it should is a question the software can't ask.
Recurring jobs vs Service Plans vs a maintenance agreement in GorillaDesk
A recurring job repeats one service. A Service Plan (Growth, March 28, 2025) chains different services so that "the initial job will be the only active job from the service plan. All future jobs will remain inactive until their preceding jobs are completed," and cancelling a job in the plan "will also remove all the upcoming services from the calendar."8, 14 Both are schedules. Here's what a prepaid agreement needs against what each one holds:

Read the rows together and the shape is clear. GorillaDesk holds the schedule in one place and the money in another, and the record that says "this customer paid $X for N visits through this date, and has had K of them" isn't in either. That's the same finding as on how to track HVAC maintenance agreements, where I list the five fields that record needs.
When recurring jobs are enough, and when they aren't
They're enough for the work GorillaDesk was built around. A monthly or quarterly pest route billed per visit. A lawn program on a fixed interval with month exceptions for winter. A bi-monthly commercial account where the invoice repeats with the job and the card gets charged on the invoice date. The Complete-or-Cancel rule keeps the calendar honest as long as techs close their jobs, and the exceptions engine is better than most. An owner-operator with five years on it put it this way in June 2026: "You can have it take care of everything on your list, some of them can be fully or partially automated. They keep adding great features and the customer support is great."18 I've no reason to argue.
They stop being enough at four points, and HVAC and plumbing shops on GorillaDesk hit all four because their agreements are prepaid and seasonal.
- A prepaid plan year. Two tune-ups for $189 paid in October is one payment and two visits owed. A recurring job knows about the visits; a subscription or invoice frequency knows about the payment; nothing reconciles them, so a spring visit that gets skipped in a hot week is gone with no flag.
- Seasonal visits the customer has to book. A recurring job puts a date on the calendar the homeowner never agreed to. The reminder goes out the day before by default, to a confirmed job, and it "reduces the number of no-shows"; it isn't an invitation to pick a slot.10 Someone in the office still calls each agreement customer in April and October.
- Renewals. A series that ends Never rolls until someone terminates it. A series that ends After 2 jobs stops quietly. Neither tells you who's due to renew this month, and neither tells the customer.
- When a card fails. No retry, no updater, no message. When a card fails nobody really has a system, and the next visit generates anyway.
Pest routes feel the same four things once a year, at renewal, which is why the 12-month-agreement thread I quoted above exists at all.
The workaround shops on GorillaDesk run
It's the same workaround I see on every field-service platform without an agreement record, with GorillaDesk's menus. One recurring job per agreement customer, set to end After the number of visits sold.1 The plan name and term end date in the customer's top note, which "appears on all the customer's jobs by default."15 Money on a Pro subscription or a Basic invoice frequency with the charge action, with the term end typed into the subscription's end date.12, 13 And a sheet with one row per agreement: customer, plan, start, term end, visits owed, visits delivered, card status. It works. It also means the thing that connects the schedule to the money is a person, and the visits that slip through the cracks are the ones nobody checked the sheet for that week.
Running the agreement ledger beside GorillaDesk
This is the part I have a product in, so weigh it accordingly. Deepsel is maintenance-agreement software that runs beside your field-service platform and owns only the agreement: plan, tier, the property or equipment covered, visits owed versus delivered per year, the card on file and the renewal date. There's no GorillaDesk integration, and I'd rather say that plainly than imply one. You import your customer and agreement list from a GorillaDesk export or from the sheet above. Does GorillaDesk have recurring jobs, and which plans include them?
Yes, on every plan. Recurring jobs are the Repeat setting on any job: Daily, Weekly, Monthly or Annually, at any interval, ending Never, after a set number of jobs, or on a date.1 The help article carries no plan gate, and the plan comparison marks Scheduling and the calendar on Basic and Pro, with Growth including everything in Pro.16 What's gated is the billing side: Subscription Billing needs Pro and Service Plans need Growth.8, 13
How do I set up a recurring job in GorillaDesk?

Why are my GorillaDesk recurring jobs grayed out?
Because they haven't been generated yet. Future visits sit on the calendar as Recurrence status tiles, and the next real job is only created when the current one is marked Complete or Canceled. A calendar full of grey tiles means jobs aren't being closed to one of those statuses; for seasonal customers, GorillaDesk's advice is to update the last active job to a new start date.1
Can I edit or move a recurring job in GorillaDesk?
You can move a Recurrence tile on the calendar but you can't open or edit it; edits happen on the current active job.1, 5 When you drag a job, GorillaDesk asks whether to move this job only or this job and all future jobs, and since March 2025 it can remember your answer for the session.7, 8 A Move All Recurring permission limits technicians to moving the current job only, and a Lock toggle pins a job to its date and time.2, 9
How do I stop or delete a recurring job in GorillaDesk?
To skip one visit, set it to Canceled: the invoice is voided and the next job still generates.3 To end the series, open the active job, change Repeat to off, then Complete or Cancel it; if you don't turn Repeat off first, closing the job unlocks the next one.5 Deleting the active job also stops future occurrences and can be undone from the Deleted tab.3 Terminate Service deletes every future job, voids the invoice, needs the Delete Job permission, requires a reason, and can't be reversed.4
Do GorillaDesk recurring jobs bill automatically?

What is the difference between recurring jobs and Service Plans in GorillaDesk?
A recurring job repeats one service on a fixed frequency and generates the next visit when the current one is closed.1 A Service Plan, added March 28, 2025 on Growth, chains a series of different services so each activates when the previous job completes; cancelling a job in the plan removes all its upcoming services.8, 14 Neither holds a plan price, a renewal date or a count of visits owed against visits delivered.
Does Deepsel integrate with GorillaDesk?
