Workiz service plans, explained: the Ultimate gate, placeholder visits, and what still needs a spreadsheet
- Every tier gate on this page was checked against Workiz's pricing page on September 2, 2026, and every limit is quoted from Workiz's own help center or from Workiz users, with links at the bottom.
- I build Deepsel, a maintenance-agreement tool that runs beside Workiz. That's relevant to exactly one section of this page, and it's labeled.
Workiz service plans are an add-on gated to the Ultimate tier, as of September 2, 2026. The add-on bills a card on file, applies a member discount and drops each visit on your schedule as a placeholder. A default automation asks the client to call you 14 days before each visit. Nothing counts visits owed against visits delivered.
That's the whole page in five sentences. The rest is the detail that decides whether the add-on runs your maintenance agreements or whether you'll be running them next to it.

Ultimate, and only Ultimate. On the pricing page, "Service plans" sits in the Ultimate column under "Everything in Pro, plus," next to equipment tracking, open API, Zapier, custom documents and checklists. The comparison table further down the same page marks Service plans with an X on Standard and Pro.1 Here's the picture as of September 2, 2026:
| Standard | Pro | Ultimate | |
|---|---|---|---|
| Price | Request pricing | Request pricing | Request pricing |
| Recurring jobs | Yes | Yes | Yes |
| Online booking with optional checkout | Yes | Yes | Yes |
| Client portal | Yes | Yes | Yes |
| Automations included | 5 | 10 | 30 |
| Service plans | No | No | Yes |
| Equipment tracking | No | No | Yes |
| Open API, Zapier, custom documents, checklists | No | No | Yes |
Workiz publishes no prices. All three tiers say "Request pricing" and send you to a demo form.1 The public data points are user-reported: a pressure-washing owner in 2023 quoted "$225 a month" for the first paid step up from the free version,9 and third-party pricing pages put Workiz somewhere in the $225 to $325 a month range13 before extra users and the Genius add-ons (phone, answering and marketing are each "sold separately" on every tier).1 I've pulled everything public about cost into the Workiz pricing breakdown. Budget on a written quote, and ask specifically what Ultimate adds over the tier you'd otherwise pick.
The gate is the complaint you hear most. From an owner comparing field-service platforms in May 2025: "Workiz is useless under the ultimate tier (no custom documents, API, Zapier, or service plans)."10 He wasn't wrong about the list. Whether that's "useless" depends on whether you sell agreements.
What the Service Plans add-on does
Give Workiz its due here, because the billing side is solid. Once Ultimate is on, you enable Service Plans in the Feature Center and build templates in the Service Plans Manager. A template holds a plan name, a job type, a service period ("1 year, 3 months, etc."), a number of visits, an auto-renew toggle, a price, a billing frequency (annual, quarterly, monthly, custom or one-time), an optional member discount and attachments for your terms.4
Enrollment happens from the client profile, or from a job on the mobile app, which is where a tech sells most plans.5, 8 The client gets a text or email with a link to the Workiz client portal, approves the plan and pays. Pick "Recurring payment with credit card" and, in Workiz's words, "Cards will be saved on file and automatically charged when future payments are due."5 Workiz Pay runs the charges. When a card fails, "an email notification will be sent to both you and your client," with a portal link so the member can enter a new card.6 That's more than some bigger platforms do.
The Service Plans page then sorts every subscription into Pending approval, Active, Expires soon (within 30 days) and Expired, shows total plan revenue, and records which team member sold each plan.7 Members get a badge on their profile, and the member discount applies across future line items on jobs, estimates and invoices.5, 8 Selling and collecting: handled.
Then the visits start.
How a service plan visit becomes a job in Workiz
Every limit in this section is Workiz's own description, and the company repeats it in three separate help articles. When a plan is paid, Workiz generates all of its visits at once.3
"By default, visits will be added to your schedule as unassigned events at 9 a.m. on weekdays."3
"The visits you create from your service plan subscriptions are designed to be converted into jobs. Before converting them into jobs, visits will simply serve as placeholders on your schedule. You will not be able to make changes or assign techs to these visits until after you convert them into jobs."2
So a 200-member spring-and-fall program puts 400 grey placeholder blocks on the calendar, all at 9 a.m., all unassigned. Someone in the office converts each one into a real job when the customer is ready. How does the customer get ready? Workiz installs one automation for you:
"Workiz helps simplify this process for you by creating an automation rule that sends your clients a reminder 14 days before their upcoming service plan visit... This way, your client knows to contact you to book a specific time and day for the job."2
Read that last sentence twice. The default flow is a reminder that asks the member to call the office. You can write your own automation rules on top (Workiz suggests one that reminds your own team, "preventing a service visit from ever falling through the cracks"3), but the booking itself stays a phone call and a manual conversion, one visit at a time. The reminder doesn't carry a self-serve booking link for that visit, even though Workiz's online booking page exists on every tier.
Two more rules worth knowing before you're deep in it. Converted jobs get a "Service Plan" tag, which is useful for filtering. But "new, standalone jobs cannot be connected to existing service plans,"3 so a tune-up your dispatcher booked the normal way, without converting the placeholder, never counts against the plan. And canceling a plan "will permanently delete all upcoming jobs, visits, and scheduled payments associated with it. This data cannot be recovered."7 Cancel carefully.
Recurring jobs vs service plans in Workiz
Shops on Standard or Pro ask whether recurring jobs can stand in for the add-on. Recurring jobs are on all three tiers.1 You create a new job, set a schedule (a frequency, an end after N jobs or a date, and how many days ahead Workiz should create each job), and Workiz generates real jobs, assignable and editable, on that cadence.11 For a monthly filter-change route that's fine.
For a maintenance agreement it's half the object. A recurring job knows nothing about money: no plan price, no card on file, no renewal, no member discount. And the frequency is locked the moment you save. "After creating a recurring job, you will not be able to edit the frequency of those jobs... To make changes to a recurring schedule, you will have to delete it and recreate it from scratch."11
| What an agreement needs | Recurring jobs (all tiers) | Service Plans add-on (Ultimate) |
|---|---|---|
| Jobs created on a schedule | Yes, as real, assignable jobs | As placeholders, converted one by one |
| Plan price and card on file | No | Yes, auto-charged via Workiz Pay |
| Failed-card notice | No | Email to you and the client |
| Member discount on invoices | No | Yes |
| Renewal | No | Auto-renew toggle; "Expires soon" at 30 days |
| Change frequency later | No, delete and recreate | Frequency set per plan at enrollment |
| Visits owed vs delivered, per member | No | Converted / not converted only |
| Member books the visit themselves | No | No, the reminder asks them to call |
So the accepted workaround on Standard and Pro looks like every other FSM's: a recurring job per member, a client tag such as "Agreement," and a spreadsheet for the price, the renewal date and the visit count. The Jobber version of that workaround is the same shape with different menus. The full walkthrough of Workiz recurring jobs, from setup to what they can't do, is here.
What still needs a spreadsheet, even on Ultimate
An HVAC shop that has run Workiz for five years, first residential and now mostly commercial, put it this way in March 2026: "Their service plan feature is poor. 5 years in we have had no onboarding. Our dashboard is a total mess."12 That's one shop, and I'll be straight about the evidence: I searched nine trade subreddits back to 2023 and found no wave of Workiz membership complaints. The feature doesn't come up much. What I can show you is the paperwork, and the paperwork has four holes.
- Visits owed vs delivered, per member. The My visits tab shows each visit and whether it's been converted.7 There's no per-member count of visits paid for against visits completed, and no report of members in their last 60 days with a visit still sitting unconverted. That's the number that decides whether a renewal is a fair ask.
- The renewal date, and what happens after it. "Expires soon" fires at 30 days.7 If a plan expires with a placeholder never converted, the help center doesn't say what becomes of the visit the customer paid for. Assume it's gone, and track it yourself.
- Failed cards after the email. Workiz emails you and the member once.6 There's no retry schedule and no text. When a card fails, nobody really has a system, and an emailed link to a portal is easy to ignore. Cash and check members are fully manual: every later payment "must also be recorded manually on the corresponding invoice."6
- Equipment. Which furnace, which serial, which filter size. Equipment tracking is a separate Ultimate feature,1 and the service plan itself attaches to a property address, not a unit.5 A two-system house with one plan is one plan, and the second system lives in the job notes.
None of these is a bug. They're the difference between a billing feature and an agreement ledger, and it's the same difference I keep finding across platforms; see how to track HVAC maintenance agreements for the five fields the ledger needs.
Six workarounds inside Workiz
If you're on Ultimate and running plans today, these keep the add-on out of trouble. All of them use what Workiz ships now.
- Set visit dates by season, not by default. At enrollment, choose "set dates manually" or "specific dates each month" instead of accepting the default.5 Put spring visits in April and fall visits in October so the placeholders land where your slow weeks are, and the 14-day reminder fires when you want the phone to ring.
- Add a team reminder automation at 30 days. Workiz's own suggestion.3 A rule that pings your dispatcher 30 days before each placeholder gives the office two weeks of outbound calls before the client-facing reminder goes out, instead of waiting for members to call in.
- Convert from the My visits tab, weekly. Filter to unconverted visits, sort by date, and clear the list every Monday.7 The grey blocks on the schedule are easy to skim past.
- Never book a member's tune-up as a standalone job. Always convert the placeholder, because a standalone job can't be attached to the plan afterward.3 Train dispatch on this one line; it's where the visit count silently drifts.
- Record offline payments the same day. For cash and check members, the invoice with the "Service plan billing cycle" line item needs the payment entered by hand.6 Same-day entry keeps "Active" honest.
- Cancel jobs, don't delete them, and think twice about retroactive start dates. Deleting a converted job is unrecoverable.3 A retroactive start with a card on file "may immediately be charged for all of the due payments," so a plan backdated three months on monthly billing hits the card for three months at once.5 Tell the customer before you do it.
Then keep a sheet with one row per agreement: plan, renewal date, visits owed, visits delivered, last visit, card status. The free version with those columns and the visits-at-risk filter is here.
Running maintenance agreements beside Workiz, on any tier
This is the part I have a product in, so weigh it accordingly. Deepsel is agreement software that works beside Workiz, whether you're on Standard, Pro or Ultimate. It owns the one record Workiz doesn't have and leaves scheduling, dispatch and invoicing where they are.
There's no Workiz integration, and I'd rather say that plainly than imply one. You export your client list from Workiz (or upload the spreadsheet you're running today), and Deepsel imports it. From there it keeps the agreement ledger: plan, tier, covered equipment by model and serial, filter sizes off a nameplate photo, card on file, renewal date, and visits owed vs delivered per unit. It charges renewals itself, retries a failed card, and flags the ones that stay failed. Each spring and fall it emails every member who's due (texts on Pro) a reminder that carries your Workiz online-booking link or your office number, so the member books and your dispatcher creates the Workiz job the way they'd create any other. Before a paid visit expires unused, you and the member both get warned.
Pricing is flat: Starter is $79 a month with unlimited users, Pro is $159 (coming soon; Starter is live), and there's no percentage taken on membership revenue. I can't put a stack price next to Workiz Ultimate because Workiz doesn't publish one. If the only line pulling you from Standard or Pro to Ultimate is service plans, $79 a month beside the tier you already have is worth pricing against the quote. Details are on the pricing page; the cross-platform comparison is in the best HVAC maintenance agreement software roundup.

Does Workiz have service plans or maintenance agreements?
Yes, as an add-on called Service Plans. As of September 2, 2026 it's listed under the Ultimate tier only.1 It builds plan templates with a duration, a number of visits, a price, a billing frequency and a member discount, enrolls clients through the client portal, and charges a saved card automatically.4, 5 Standard and Pro don't include it.
Which Workiz plan includes service plans?
Ultimate. The pricing page lists Service plans under "Everything in Pro, plus," with equipment tracking, open API, Zapier, custom documents and checklists. Recurring jobs, online booking and the client portal are on all three tiers.1
How much does Workiz Ultimate cost?
Workiz doesn't publish it; all three tiers say "Request pricing."1 User reports and third-party pricing pages put Workiz roughly in the $225 to $325 a month range before extra users and the Genius add-ons.9, 13 Treat every number as an estimate until you have a written quote. The full cost picture is on the Workiz pricing page.
Can I run maintenance agreements on Workiz Standard or Pro?
Only by hand. Recurring jobs create jobs on a fixed schedule but bill nothing, don't renew, apply no member discount, and lock their frequency once saved.11 Shops on those tiers run a recurring job per member plus a client tag plus a spreadsheet, or they keep their tier and run the ledger in a tool beside Workiz.
Do Workiz service plan visits schedule themselves?
No. Visits land as unassigned placeholder events at 9 a.m. on weekdays and can't be edited or assigned until converted into jobs.2, 3 The default automation reminds the client 14 days out so "your client knows to contact you to book a specific time and day."2
Does Workiz track visits owed vs delivered?
Partly. Each plan carries a visit count and the My visits tab shows converted or not.7 There's no per-member reconciliation of visits paid for against visits completed, no warning before a plan expires with a visit unconverted, and no unit-level history unless you also use the Ultimate-only equipment tracking.1
How do shops on Workiz track maintenance agreements?
Three ways, in my experience: the add-on plus a reconciliation sheet on Ultimate; recurring jobs plus a tag plus a sheet on Standard and Pro; or a ledger tool beside Workiz on any tier. The methods and what each one costs in office time are compared in how to track HVAC maintenance agreements.
Does Deepsel integrate with Workiz?
Not directly. Deepsel imports your client and agreement list from a Workiz export or a spreadsheet, keeps the ledger and bills renewals, and its seasonal reminders carry your Workiz online-booking link or phone number. Booked visits get created in Workiz by your office as normal jobs. Workiz stays your system for scheduling, dispatch and invoicing.
