Service Fusion recurring jobs, explained: how Repeating Jobs and Recurring Invoices work, what you can change later, and what neither one tracks
- Every feature claim on this page was checked against Service Fusion's help center and pricing page on September 2, 2026, with links at the bottom. Where the docs are silent, I say so.

Service Fusion recurring jobs are called Repeating Jobs. On every plan, a Repeating Job copies one job onto the calendar at the interval you pick, for up to a year in advance. Billing is a separate object, Recurring Invoices, included on Pro and a paid add-on on Starter and Plus. Neither one counts the visits a maintenance agreement owes.
The rest is what each object does, what you can change after saving, and where a maintenance program still ends up in a spreadsheet.

Yes, under the name Repeating Jobs. The help center's pitch: "Repeating jobs are useful when you have a customer that needs work done at regular intervals! Once you have customized your jobs to repeat at the intervals you desire they will appear on the schedule for their scheduled time for up to a year in advance."1 You switch it on with a checkbox called "Repeat This Job" below the Arrival Time Window on the job form.1
Which plan? None of Service Fusion's documents gate it. The Repeating Jobs article names no subscription requirement,1 the add-on list for Starter and Plus doesn't include it,4 and the pricing page lists "Estimates & Jobs" and "Scheduling & Dispatching" on all three tiers.5 So I'm treating Repeating Jobs as included from Starter up. One of the first results for "service fusion recurring jobs" is ServiceTitan's review of Service Fusion, which sums the feature up as "Automates routine service appointments under maintenance agreements."12 That's the intent. The mechanics are the point of this page.
How to set up a Repeating Job in Service Fusion
One dialog, six settings, all documented.1
- Create the job and enter a start date. "Please note: the job start date must be entered." Below the Arrival Time Window, tick "Repeat This Job."1
- Job Repeats. Daily, weekly, monthly or yearly. Weekly lets you pick days of the week; monthly lets you choose a date, a weekday or the last day of the month. A summary panel shows the dates the future jobs will land on.1
- Repeat Every. The number of increments between copies (every 3 months, every 2 weeks) and the date repeats start, which defaults to the original job's date.1
- This Job Stops Repeating. After a set number of jobs, on a date, or never.1 "Never" is the one most shops pick and then forget about.
- Create Repeat Job(s). A drop-down that decides when the copies populate your schedule.1 The article doesn't list its values.
- Initial Status Of New Job(s). Pick from your job statuses.1 Then choose whether pictures, documents, custom field values and billing mode copy to "all future jobs in the thread."1
Afterward, every thread lives on its own dashboard: hover the Jobs tab and pick Repeating Jobs. The list shows only the original instance of each thread, with its frequency, job total, start date and time, customer, description and job number.1 It's also the only place you can change a thread's repeat settings.
What you can and can't change after it's created
You can change most things, and Service Fusion asks a sensible question when you do. The rule that trips people up: the repeat settings live on the original job only.
"If you attempt to change the information of a repeating job then you will be presented with a dialogue box that will give you the option to change just the current job or all future jobs. This is the best way to make changes across the entire thread of jobs."1
So a new tech, a new duration, a new arrival window: edit any copy, choose "all future jobs," done. The frequency, the interval and the stop condition are different. Open them on a later copy and Service Fusion tells you they "can only be edited on the original instance," then offers to take you there; make the change on the original and a confirmation warns "that the change will affect all of the subsequent jobs."1 Compared with platforms that make you delete and rebuild a series to change its cadence, that's a real convenience.
- Ending a series. There's no "stop repeating" article. The documented route is to open the original instance and change "This Job Stops Repeating" to a date or a job count.1
- Deleting. The deletion article covers invoices ("the first step if you need to remove an entire workflow thread," and unrecoverable) and doesn't describe deleting a repeating thread in one step.11 Set a stop date and let the thread run out.
- Every copy is a real job on a real date, with the status you chose.1 A custom holding status carries no system logic,10 so nothing fires, and nothing reminds you the job is sitting there.
How recurring work bills in Service Fusion
A Repeating Job bills nothing by itself. Each copy is a job, invoiced the way you invoice any job, with the billing mode copied from the original if you chose that at setup.1 Automatic billing is a second object with its own article: Recurring Invoices.
They start from the same place a normal invoice does, a small arrow next to the Invoice button on a job with two options, standard or recurring.2 The definition is the sentence to remember: "Recurring invoices are 'standalone' invoices that repeat over time as indicated during creation. This will allow for you to invoice your customers on a repeating schedule independent of a job and manual creation!"2 Independent of a job. The invoice has four settings of its own:2
- Starts. The first invoice date, which "must be a future date."
- Recurrence Schedule. Daily, weekly, monthly (a date, "the third Thursday of the month," or the last day) or yearly, every N periods.
- Ends. "Never," a specific date, or "After" a number of occurrences.
- Create On The. When the invoice appears in your system: the day it occurs, the first day of that week, or the first of that month.
The customer only sees it if "Email Customer Invoice After It Is Created" is YES in Outbound Email Settings and "Invoice" is checked in their Email Preferences.2 Miss either and the invoices generate quietly under the Accounting tab.
Then the toggle that makes it a membership charge. Service Fusion Payments customers get an "Automatic Payment" option on the recurring invoice, which charges the card or ACH account saved under the customer's Financial Data tab, "on the recurrence date, not the invoice's created on date," set up "from the back office only."2, 3 Service Fusion's own "best suited for" list on that article includes "Users that participate in a recurring revenue model, such as monthly or annual service maintenance agreements."3 It "is included in the PRO plan subscription or requires the 'Progress Billing & Recurring Invoicing' add-on,"3 which Starter and Plus shops add from the Progress Billing option on any job.4 The add-on price isn't published; the Service Fusion pricing page has everything that is.
And the decline? I read both articles twice. Neither describes what happens when the stored card fails: no retry, no alert to the office, no message to the customer.2, 3 The nearest thing is the Service Agreement Management Dashboard, where a card icon turns yellow when the card "expires within the evaluated time frame" and red when it's already expired.7 That catches expiry. It doesn't catch a decline. When a card fails, nobody really has a system, and on Service Fusion the system is whoever reads the unpaid invoice dashboard.
Repeating Jobs vs Recurring Invoices vs a maintenance agreement
The third Service Fusion column below is the Service Agreement toggle on the customer record: member pricing, effective and expiration dates, a reference-only amount, and the help center's advice to use it "in conjunction with" the other two.6 The service agreements page covers it in full.

Read down the "visits owed vs delivered" row. Three objects, three No's. That row is the maintenance agreement, and it's what an office manager at a four-tech HVAC shop was asking for in February 2025, after she'd already got the billing working:14
"I don't need billing, we have recurring invoices set up in Service Fusion. I just need something that tracks if and when they get their 2 maintenance visits, renewal date, tier level, last visit date, etc."
When Repeating Jobs are enough, and when they aren't
They're enough when the visit date is yours to choose. A monthly filter route for a commercial account. A quarterly PM on a rooftop unit. A weekly cleaning. For that work, a Repeating Job set to never stop, with the tech and billing mode copied through, is the feature doing exactly what it says.1
They're not enough for a residential maintenance agreement, for three reasons that trace back to the same design.
The homeowner has to pick the day. A Repeating Job lands a spring tune-up on, say, April 14 at 9 a.m., because a start date was required and that's what you entered a year ago.1 The member never agreed to April 14. Someone has to reach every member and move every job. The same office manager came back three months later with exactly that: "When I try to google it I mostly get full CRMs pop up, we use Service Fusion and don't plan to change that for a few years."15 The top answer was a system of sorts: "blasting an email to all of them at once, with each recipient Blind copied... I do that twice, then one friendly call."15 The customer portal doesn't close the loop either; a portal booking "is a REQUEST for service and it's not a definite time/date for the job."8
Nothing counts. Cancel the spring copy in a no-cool week and the fall copy still shows up as if nothing happened. No field in any of the three objects says this member paid for two visits and got one.1, 2, 6 Come October, the members who slipped through the cracks look identical to the ones who didn't.
Nothing renews. The Repeating Job runs until its stop condition, the Recurring Invoice until its end setting, and the agreement's expiration date passes and the member rate switches off.6 Three clocks, none connected, none sending a warning before it runs out. Agreements lapse silently and you find out on the next emergency call.
What Service Fusion says is coming
Worth knowing before you build a big workaround. On June 25, 2026, Service Fusion published "How Service Agreements Work in Service Fusion (and Why Your Business Needs Them)," and nearly every feature in it is in the future tense: agreements "are being built to simplify how businesses create, manage, and bill long-term customer agreements with flexible billing options, automated invoicing, and built-in discounting," with invoices "created on a predefined schedule tied to the agreement" and "customer-ready agreement summaries."13 A few weeks later its own Reddit account asked what causes the most headaches, "renewals, scheduling the recurring work, billing," or knowing "what the customer's plan includes."13
As of September 2, 2026 the help center still documents the three separate objects above, and the post doesn't mention counting visits.6, 13 If billing tied to the agreement ships, that's one clock of three. Ask on the demo when.
The workaround shops on Service Fusion run
Until then, the assembled version. The service agreements page has the full five practices; this is the Repeating Jobs part.
- Two Repeating Jobs per member, yearly. "Spring PM" in April, "Fall PM" in October.1 Set "Initial Status Of New Job(s)" to a custom status you never dispatch from ("PM Unconfirmed"). Custom statuses carry no system logic, so nothing fires until you move the job.10
- Use the Repeating Jobs dashboard as the who's-due list. Twice a year, confirm with each member, drag the job to the real slot and flip the status.1 On Plus and Pro, Batch Edit Jobs can move a whole season's dates, windows and techs at once, filtered by status or customer tag; it overwrites and can't be undone.9
- Bill from a Recurring Invoice with Automatic Payment on and Ends set to Never (Pro, or the add-on), and check Outbound Email Settings so the member sees it.2, 3
- Put the tier and visit count in the Agreement Name so the dashboard's Type column groups by it and the Excel export sorts by it.6, 7
- Keep the count somewhere. Export the dashboard to Excel,7 add columns for spring delivered and fall delivered, and reconcile monthly against job history. Running the agreement ledger beside Service Fusion
This is the section I have a product in, so weigh it accordingly.
Deepsel is agreement software that runs beside Service Fusion, on any plan. It owns the one record the three objects above don't have and leaves scheduling, dispatch, invoicing and QuickBooks where they are. There's no Service Fusion integration, and I'd rather say that plainly than imply one. You export your customer list (or the Service Agreement dashboard's Excel file) and import it.
From there Deepsel keeps the ledger: plan, tier, covered equipment by model and serial, filter sizes off a nameplate photo, card on file, renewal date, and visits owed vs delivered per unit. It charges renewals on the card, retries when a card fails, and flags the ones that stay failed; or leave billing in Service Fusion and use Deepsel for visits and renewals only. Each spring and fall it emails every member who's due (texts on Pro) a reminder with your phone number, booking form or Service Fusion portal link, so the member reaches out and your office creates the job as usual. Before a paid visit expires unused, you and the member both get warned.

Does Service Fusion have recurring jobs?
Yes. Service Fusion calls them Repeating Jobs. When you create a job, tick "Repeat This Job" below the Arrival Time Window and Service Fusion copies the job onto the calendar at the interval you set, daily, weekly, monthly or yearly, for up to a year in advance.1 The help center shows no plan requirement and the feature isn't on the add-on list, so it comes with Starter, Plus and Pro.4, 5

Can I edit a repeating job in Service Fusion after it's created?
Yes, with one rule. Editing job details on any copy gives you a choice of changing just that job or all future jobs. The repeat settings themselves (frequency, interval, stop condition) can only be edited on the original instance of the job, and a change there affects every subsequent job in the thread.1
Do Service Fusion repeating jobs bill automatically?
No. A Repeating Job creates jobs, and each job is invoiced the way any job is.1 Automatic billing is a separate object, a Recurring Invoice, which repeats "independent of a job."2 With Automatic Payment on, it charges the stored card or ACH account on the recurrence date; that needs Service Fusion Payments and either Pro or the Progress Billing & Recurring Invoicing add-on.3
Which Service Fusion plan includes recurring invoices?
Pro. On Starter and Plus, Progress Billing & Recurring Invoicing is a paid add-on you enable from the Progress Billing option on any job.3, 4 As of September 2, 2026 the pricing page lists Starter at $208 a month billed annually ($245 monthly), Plus at $325 ($382) and Pro at $533 ($627), with unlimited users on every plan.5 Repeating Jobs aren't gated. What happens when a customer's card fails on a Service Fusion recurring invoice?
The help center doesn't say. The Recurring Invoices and Automatic Payments articles cover how the charge is scheduled, but neither documents a retry, an alert to the office, or a message to the customer when a payment declines.2, 3 The Service Agreement Management Dashboard flags a card that has expired or is about to,7 which is the closest built-in warning.
Can Service Fusion track the visits owed on a maintenance agreement?
Not as a count. A Repeating Job puts visits on the calendar, a Recurring Invoice bills, and the Service Agreement toggle sets member pricing with an expiration date and a reference-only amount.1, 2, 6 None of the three records how many visits a member paid for against how many were completed, and nothing warns you when a plan year is about to end with a visit still owed.
Does Deepsel integrate with Service Fusion?
No. Deepsel runs beside Service Fusion on any plan. You import your customer list or the Service Agreement dashboard's Excel export, Deepsel keeps the agreement ledger and bills renewals on a card on file if you want it to, and its seasonal reminder emails (texts on Pro) carry your booking link or phone number. When a member books, your office creates the visit in Service Fusion as a normal job.
