Housecall Pro recurring jobs, explained: setup, what you can change, how they bill, and where a maintenance agreement needs more

Housecall Pro recurring jobs create a job on a schedule, daily through yearly, and no plan gates them. Each occurrence is its own job and its own invoice, editable alone or as a series. They bill per visit. They don't hold a plan price, a renewal date or a count of visits owed. That's the Max-only Recurring Service Plans module.
That's the answer. The rest is the detail: the exact clicks, the rules that bite after the series exists, and where recurring jobs stop being enough for agreement customers.

All of them, as far as HCP's own pages show. The pricing page lists "Scheduling & dispatch" under Basic, the $59 a month tier, and has no separate line for recurring jobs on any plan.1 The two help-center articles that document the feature carry no plan note either.2, 3 The one gated item with "recurring" in its name is Recurring Service Plans, which sits under Max ("Everything in Essentials, plus") at $299 a month billed annually.1 Here's the picture as of September 2, 2026:

So if your only reason to look at Max is "we need recurring maintenance on the calendar," you don't need Max. If it's "we need the customer's card charged for a plan, with an expiry," you do; that module is covered on the Housecall Pro service plans page, and the tier breakdown with user fees and processing is on the Housecall Pro pricing page.
How to set up a recurring job in Housecall Pro
On the web it's a menu item; in the app it's a toggle inside the schedule. HCP's pitch: "once you set up the recurrence, you'll no longer have to schedule each job every week."2 The web steps:
- Click + Create in the left navigation and choose Recurring Job. You land on a "New recurring job" page rather than a normal job form.2
- Fill in the customer, private notes, line items, schedule, frequency and recurrence info. The recurrence block offers "Schedule or Find a time." Checklists, fields, tags and lead source are on the same page, which matters later, because a tag is how you'll mark agreement customers.2
- Pick the frequency. Daily, weekly, monthly, yearly or custom.2 A never-ending series isn't generated forever: daily, weekly and monthly jobs are created a year out, yearly jobs five years out, and HCP extends the run automatically.3
- Tick "Notify customer" if you want them to get the job notification, then click Save recurring job.2
In the mobile app: tap +, choose Job, tap Schedule +, select Recurrence, set the details and save.2 Two notes from the same article are easy to miss. "Job inputs do not carry over on recurring jobs,"2 so anything you'd normally capture in a job input has to be re-entered per occurrence. And you can turn an existing one-off job into the first of a series by editing it and adding recurrence details: "if you make a series with 5 jobs the result will be the current job + 4 new jobs."3
One scheduling rule worth setting correctly on day one. A monthly job on the 31st only lands in months with 31 days, and a "5th Friday" job only lands in months that have one. HCP's advice is to "schedule for a date that is guaranteed to happen each month."3 For a spring and fall tune-up program, that means two yearly series (one in April, one in October) rather than one clever custom rule.
What you can and can't change after a recurring job is created
You can change the tech, the frequency and the date and time, for one job or for the rest of the series. You can't unschedule, copy or convert a recurring job. Those are the headline rules, and the help center is precise about each.
Editing works from the job details page. Use the Schedule button or the pencil in the recurring job card, then pick "Only this job" or "This job and all future jobs."3 Series edits run forward from the job you're on: change weekly to monthly on the third job and the first two stay as they were.3 Changing the number of occurrences behaves the same way, and the example is worth reading before you touch it: "I have a recurring job with 4 occurrences. On the second job, I increased the number to 10. There will be 10 more occurrences starting with this job, so in total 11 in the series."3 Move an end date into the past and everything after it is deleted.3
Deleting follows the same fork. Gear and wrench icon, Delete job, then "This Occurrence" or "This and Future Occurrences," and the change is immediate.3 Cancelling a job sends the customer an email or text if their notifications allow it, and a deleted job stays in your account with a job number that can't be reused.12
Now the limits, in HCP's words.
"Recurring jobs cannot be unscheduled. However, you can change the time and date for one or all occurrences."5
"Recurring jobs cannot be copied - you will only have the option to cancel or delete the job."6
"If a job is entered into the system as a part of a recurring series of jobs, it cannot be converted to an estimate. The system recognizes recurring jobs as pre-set appointments for work, such as a weekly clean or a 6-month system check."6
Recurrence is also off for segments, estimates and jobs with more than one appointment.3 Reassigning a tech on a recurring job happens in the Appointments section of the job rather than next to the line items.8 Notes have their own rule: add a note to a recurring job and HCP asks whether it applies to this job or the whole series; a series note shows a recurring icon, edits to it hit every job, and deleting it removes it from every job.7 Handy for a gate code. Risky for "paid for spring visit already."
How do recurring jobs bill in Housecall Pro?
Per visit. HCP's overview of the feature says it plainly: "Each job in the series is its own record with its own schedule, invoice, and job number," and lists "You need separate invoices per visit" as a reason to use it.4 There's no plan price on a recurring job and nothing charges before the work is done. What you get are two automations that collect each invoice for you.
Auto Invoicing sends a customer's open invoices on a daily, weekly, monthly or yearly cadence. You set it on the customer profile or on any of their jobs, and it "will begin when the job has been marked as Finished and has a due amount."9 It applies to every unpaid invoice on that profile, not only the recurring ones.9
Automatic payments charges a card on file. It's a toggle under Settings, Invoices, Automations: "If a customer has a card on file, automatically charge card for unpaid balance on a job on invoice due date," with two triggers, "Upon completion of job" or "On invoice due date."10 There's a 5 to 10 minute delay after the trigger, editing the amount afterward cancels the charge, the customer gets a receipt, and you can exclude customers one by one or by tag.10 Card-on-file charges pay a card-not-present rate of 3.49%.11
Put those together and a monthly commercial filter route bills itself: the tech finishes, the card is charged, the receipt goes out. What the docs don't describe is a failure path. The automatic payments article has no retry schedule and no customer message for a declined card; the invoice sits unpaid.10 When a card fails, nobody really has a system, and here that system is your office reading the unpaid list.
Recurring jobs vs Recurring Service Plans vs a maintenance agreement in Housecall Pro
A recurring job is a schedule. A Recurring Service Plan is a subscription. A maintenance agreement, the thing you sold the homeowner, is both plus a ledger: what they paid, what they're owed, when it ends. HCP's feature page for service plans even describes the module as "Automatically generate recurring jobs based on the selected plan,"15 so the two are built to work together. Here's what each holds, against what the agreement needs.

One rule from the plan FAQ helps if you mix the two: a plan visit that got booked as a regular job can be linked back to the plan afterward, from the Maintenance Schedule on the customer's plan or from the job itself.13 That's better than some platforms manage.
When recurring jobs are enough, and when they aren't
They're enough when every visit is its own sale. HCP's own example is a pool cleaned every Friday, each visit a new job with its own invoice.4 The same shape fits a monthly filter change for a restaurant, a quarterly commercial PM billed after each visit, and a lawn or pest route. Add card on file with the "Upon completion of job" trigger and the billing runs itself.10
They stop being enough the moment a customer pays once for a year of visits. Four things go wrong, and none of them is a bug:
- The money and the visits live apart. The homeowner paid $189 in March. The October job invoices separately, so it either goes out at $0 with a note or it double-charges. Neither tells you whether the March payment has been earned yet.
- Nothing counts. Cancel a spring tune-up during a no-cool week and the series moves on. In October there's no report of members who still have a paid visit owed. That's how agreements lapse silently.
- The date was yours, never the customer's. A recurring job lands on a day you chose a year ago. The office still calls every member to move it, and a member who's due doesn't know they're due until that call.
- The year ends without a sound. A series end date deletes future jobs; it doesn't ask anyone to renew, charge a card or notice a card that expired in month eight.

The workaround shops on Housecall Pro run
On Basic or Essentials, the usual build is a recurring job per member plus a tag plus a sheet. It works, and HCP's own features make it tidier than most:
- Two yearly recurring jobs per member, spring and fall, each with the tune-up line item and the plan name in a series note.2, 7 Yearly series generate five years out,3 so you set them once.
- A tag on the recurring job and the customer, such as "Agreement" or the tier name, so the calendar and the customer list can be filtered.2
- Card on file, with prepaid members excluded from auto-charge by that tag. The automatic payments setting lets you exclude customers by tag,10 which is the clean way to bill per-visit customers automatically while a prepaid member's $0 tune-up invoice never touches their card.
- A sheet with one row per agreement: plan, price paid, date paid, renewal date, visits owed, visits delivered, card expiry. The free version with those columns and a visits-at-risk filter is here.
- A monthly pass through the sheet for members in their last 60 days with a visit still owed, and for renewals due next month. This is the step that decays first as the list grows past a hundred rows.
If you're on Max, the module replaces steps 3 and 4 for billing and adds the Unscheduled Visits list; the sheet still carries visits owed vs delivered and equipment. The service plans page has the five practices for shops running the module.
Running the agreement ledger beside Housecall Pro

Does Housecall Pro have recurring jobs?
Yes. Housecall Pro creates recurring jobs on a daily, weekly, monthly, yearly or custom recurrence from the + Create menu on the web or from the Schedule section of a job in the mobile app.2 Each occurrence is its own job with its own job number, schedule and invoice,4 and you can edit or delete one occurrence or the rest of the series.3

How do I edit or delete one visit in a recurring series?
Open the job, click the Schedule button or the pencil in the recurring job card, and pick "Only this job" or "This job and all future jobs." To delete, use the gear and wrench icon, choose Delete job, then "This Occurrence" or "This and Future Occurrences."3 Changes to the recurrence rule start from the job you're on; earlier jobs are untouched.3
Can I unschedule or copy a recurring job in Housecall Pro?
No to both. Recurring jobs can't be unscheduled (you change the date and time of one or all occurrences instead),5 can't be copied (your options are cancel or delete), and can't be converted to an estimate.6 Recurrences also can't be added to segments, estimates or jobs with more than one appointment.3
Do Housecall Pro recurring jobs bill automatically?
Each occurrence produces its own invoice.4 Auto Invoicing sends a customer's unpaid invoices on a daily, weekly, monthly or yearly cadence once a job is finished with a balance due,9 and the Automatic payments setting charges a card on file when the job is finished or when the invoice due date passes.10 Card-on-file charges carry a 3.49% card-not-present fee.11 Nothing charges a plan price up front or on a renewal date; that's the Recurring Service Plans module on Max.
What's the difference between recurring jobs and Recurring Service Plans?
A recurring job is a schedule: it puts a job on the calendar at an interval and invoices each visit separately.4 A Recurring Service Plan is a subscription: the customer accepts a plan with a price and a billing frequency, a card on file is charged automatically, plan visits appear in an Unscheduled Visits list for the office to book, and the plan carries an expiry and renewal emails.13, 14 Recurring jobs are on every plan; Recurring Service Plans is on Max only.1 An HVAC owner on r/HVAC in November 2024 put the gap from the other side: "I use HouseCall Pro for all my invoicing and estimates, but they do not offer any program in which I can offer my clients a subscription for discounted services." The first reply: "Contact housecall pro, recurring service plans are an add on item."16
Can I run maintenance agreements on Housecall Pro with recurring jobs?
Partly. Shops on Basic and Essentials run a recurring job per member, a customer tag for the plan tier, card on file for per-visit charges, and a spreadsheet for the plan price, renewal date and visits owed vs delivered. The recurring job handles the calendar. It doesn't hold the money the member already paid, doesn't count visits against the plan, and doesn't know when the plan year ends, so those fields live in the sheet or in an agreement tool beside HCP.
